As a Mission Advisor with World Fuel, you'll be the operational heartbeat behind our clients' flights. You will coordinate every detail of their mission-from trip planning to vendor communication-ensuring a seamless and safe travel experience. This is a great role for aviation professionals who thrive in a fast-paced, service-driven environment and enjoy solving complex operational challenges.
If you love supporting flight departments, coordinating logistics, and being the central point of communication for successful missions, this role gives you the autonomy, variety, and global exposure you're looking for.
What You'll Do
Client & Mission Coordination
  • Serve as the primary point of contact for clients, processing new trip write-ups and revisions (simple and complex).
  • Provide accurate, timely updates throughout all stages of mission planning.
  • Convert client requirements into actionable trip plans that meet their preferences, schedules, and regulatory needs.

Vendor & Service Management
  • Initiate and send service requests to ground handlers, hotels, transportation providers, and other vendors.
  • Confirm all services and ensure every detail is captured accurately in the mission support system.
  • Review and respond to incoming messages from clients and vendors, assigning tasks appropriately.

Internal Collaboration
  • Work closely with internal teams-including flight planning, weather, regulatory, crew accommodations, and fuel services-to ensure all mission components are properly arranged.
  • Conduct detailed trip reviews, ensuring accuracy and quality before transmission.
  • Identify service issues and collaborate with peers and leadership to implement improvements.

Operational Excellence
  • Monitor all mission details to ensure services are confirmed ahead of lead times, curfews, and operational restrictions.
  • Maintain a high level of quality and accuracy in all client communications and documentation.
  • Perform additional duties and special projects to support the overall success of client missions.

What You Bring
Required Skills & Experience
  • Ability to perform all Mission Services Coordinator responsibilities.
  • Minimum 3 years of professional experience; aviation-related experience is a plus.
  • Strong client-service orientation with confidence to solve problems quickly and professionally.
  • Proficiency in the Microsoft Office Suite (Word, PowerPoint, Outlook).
  • Ability to navigate multiple databases at once and maintain accuracy under deadlines.
  • Strong attention to detail in all data entry and documentation.
  • Ability to work efficiently with a multi-line phone system.
  • Basic math skills for flight schedule calculations; comfort using 24-hour clock format.
  • Solid understanding of global geography as it relates to aviation operations.

Preferred Qualifications
  • FAA Dispatcher License or Air Traffic Control certification.
  • Experience as a scheduler or dispatcher in an aviation flight department.
  • Some college coursework or equivalent military experience.

Work Environment & Schedule
