Job description

Position Definition:  The Administrative Assistant of Management Information Systems shall be responsible for providing direct support to all functions relating to Management Information Systems Director and Department.
Relationship:  The Administrative Assistant shall be directly responsible to the Director of Management Information Systems.
Qualifications: 
Education/Experience:  





  • High school diploma or GED.
  • Minimum three (3) years' experience as an Administrative Assistant.
  • Minimum one (1) year experience as an Administrative Assistant to a Director/Department Head/Administrator, preferred.

Skills/Knowledge:  

  • Demonstrates advanced computer skills, including a thorough knowledge of Windows and the Microsoft Office Suite and proficient use of departmental computer software.
  • Demonstrates the ability to work in a team environment.
  • Demonstrates secretarial skills to effectively use office equipment, including, but not limited to, phone system, fax machine, copier, scanner, computer, and calculator.
  • Demonstrates the ability to maintain complete confidentiality.
  • Demonstrates excellent interpersonal skills, demonstrated by patience, understanding, and congeniality.
  • Demonstrates excellent oral and written communication skills.
  • Demonstrates the ability to organize, plan, and manage job responsibilities in order to complete assignments with minimal supervision.
  • Demonstrates the ability to complete tasks with attention to detail and accuracy.
  • Attends work regularly at assigned work hours subject to lawful leave rights and responsibilities.
  • Proficient data collection and entry skills.

Authority:  The Administrative Assistant will have the authority to perform all functions listed below in accordance with established policies and procedures.
Functions/Duties/Responsibilities:  To perform this job successfully, an individual must be able to perform each essential function/duty/responsibility at acceptable standards. In accordance with both state and/or federal law, reasonable accommodations will be considered upon employee request.
Essential: 




  • Provides front line communication regarding MIS opportunities for the CLIU #21, school districts, community, and business entities.
  • Develops, coordinates, and maintains all documentation for MIS, with assigned grants received by the CLIU #21.
  • Assists in the compilation of the annual needs assessment process completed by the local school district.
  • Assists in the operational implementation of the activities of the MIS meetings.
  • Collects, synthesizes, and produces annual statistics regarding MIS.
  • Types and files correspondence, purchase orders, memos, reports, and invoices.
  • Coordinates maintenance contracts on hardware regarding MIS.
  • Coordinates maintenance on MIS vans.
  • Coordinates deliveries for MIS.
  • Coordinates delivery and storage of purchases made by MIS.
  • Answers phone, takes messages, and assists callers with requested information.
  • Obtains, gathers, and organizes pertinent data, as needed, and puts into usable form.
  • Provides all day-to-day secretarial functions to the department.
  • Assists in compiling information for billing.
  • Sends and tracks billings and payments.


Secondary: 

  • Maintains correspondence, informational, and budgetary files.
  • Represents the MIS department via telephone on all MIS development issues.
  • Assists with grant facilitation.
