Job description

We're looking for a friendly, detail-oriented Medicare Office Assistant to help our office run smoothly and give every client the same warm, organized experience Karen is known for.

● Answer phones, respond to emails, and greet clients — often seniors — with patience and warmth

● Schedule and confirm client appointments, including the heavier volume during the Annual Enrollment Period (AEP, Oct 15–Dec 7) and other Medicare enrollment windows

● Prepare, organize, and track enrollment paperwork and compliance documents (e.g., Scope of Appointment forms, applications)

● Maintain accurate, up-to-date client records in our CRM/agency management system

● Assist with mailings, follow-up calls, and reminder outreach to clients

● Support basic office administration: filing, supply ordering, light bookkeeping tasks, and keeping the office organized

● Help clients understand next steps in plain language (no advising on plans — that stays with Karen and licensed agents)

● Pitch in wherever the team needs a hand, especially during seasonal enrollment periods
