Duties, Responsibilities & Other
Key Duties:
  • Administrative Support - Support office staff in assembling and reviewing submittals, reports, timesheets, and general administrative documents.
  • Document Management: Organize and maintain documents, ensure file-naming protocols are being followed, compile documents as requested, digitize or scan construction documents.
  • Data Entry & Tracking: Input data, generate status reports, and ensure documents are properly logged.
  • Compliance & Permits: Assist with tracking permits, compliance documents, and project approvals. Review submittals for conformance with project requirements including payrolls, Disadvantaged Business Enterprise reporting, wage interviews, subcontract approval review forms, and other federally required compliance documents.

The ideal candidate will have the following experience and skills:
  • Administrative Support: Prior experience in office support roles, ideally in engineering or construction.
  • Document & Data Management: Experience handling technical documents and reports for engineering projects.
  • Microsoft Office: Proficient in Word, Excel, Outlook, and PowerPoint.
  • Web-Based Project Management: Familiarity with tools utilizing web-based project management software such as e-Builder, Procore, or similar.
  • Experience with Microsoft Dynamics 365 Accounting/CRM software.
  • Knowledge of Union/Prevailing Wage documentation and invoicing.
  • Basic construction knowledge related to highway and bridge construction

Qualifications
  • High School diploma or equivalent is required. Some college or degree program enrollment would be a plus.
  • Minimum of 5 years of office administrative experience.
  • Pre-employment drug screening is a condition of employment. Background and motor vehicle checks may be required based upon position.
