As our Central Office Assistant, you'll play a critical role in making sure our offices, teams, and day-to-day operations run seamlessly across multiple locations. This is not a passive admin role - you'll be the person who keeps things moving, anticipates needs before they arise, and ensures employees across the organization have what they need to do their best work. From office operations to employee experience, you'll be at the center of it all. If you're highly organized, resourceful, and energized by being the "go-to" problem solver, this role is for you.


Responsibilities:

  • Keep office operations running smoothly across multiple locations, ensuring spaces are stocked, functional, and ready for employees
  • Manage supplies, swag, onboarding materials, and vendor relationships while staying aligned to budgets
  • Coordinate facilities needs, maintenance requests, and office setup projects
  • Support travel coordination for team members, ensuring a seamless and policy-compliant experience
  • Help plan and execute employee engagement initiatives, recognition programs, and company events
  • Support leadership with administrative needs, communication, and special projects
  • Maintain accurate systems, documentation, and SOPs to support scalable operations
  • Route and manage inbound communications (email, phone, mail) ensuring timely responses and proper distribution
  • Support compliance tracking, registrations, and operational requirements across locations
  • Identify ways to improve processes and reduce friction across office operations

Requirements:

  • 2+ years of experience in administrative support, office coordination, operations support, or similar role
  • Experience managing multiple priorities, requests, or stakeholders in a fast-paced environment
  • Demonstrated ability to organize and track detailed work (scheduling, logistics, supplies, or project coordination)
  • Experience supporting internal teams or leadership with high-volume communication and requests
  • Proficiency using basic office tools (email, spreadsheets, shared drives, task tracking systems, etc.)
  • Strong written and verbal communication skills with the ability to interact professionally across all levels of an organization
  • Proven ability to follow through on tasks from start to finish with accuracy and reliability
  • Comfort working across multiple locations, teams, or functional areas
