Position Overview

The Insurance Coordinator is responsible for managing dental insurance processes while supporting an exceptional patient experience. This position requires strong knowledge of dental insurance, benefit breakdowns, eligibility and coverage verification, treatment estimates, and claim submission.

The Insurance Coordinator will also assist with treatment presentation, patient financial discussions, check-in and check-out, scheduling, and other administrative responsibilities as needed.


Key Responsibilities

  • Verify patient insurance eligibility, coverage, and benefits.
  • Obtain and accurately document detailed insurance breakdowns, including deductibles, maximums, frequencies, limitations, and applicable coverage percentages.
  • Maintain accurate and up-to-date insurance information within patient accounts.
  • Prepare accurate treatment estimates based on insurance benefits and recommended treatment.
  • Present and explain treatment plans, estimated insurance benefits, and patient financial responsibility.
  • Submit dental insurance claims accurately and in a timely manner.
  • Ensure claims contain appropriate documentation, narratives, X-rays, and supporting information when required.
  • Follow up on outstanding claims, insurance requests, and necessary documentation.
  • Communicate with insurance companies regarding benefits, claims, and coverage questions.
  • Assist patients with insurance-related questions and help them understand their benefits and estimated financial responsibility.
  • Collect patient payments and assist with financial arrangements when necessary.
  • Provide administrative and clerical support to the practice.
  • Assist with patient check-in and check-out.
  • Answer phones professionally and provide excellent customer service.
  • Assist with scheduling and maintaining an efficient patient flow.
  • Follow up with other dental or medical offices regarding X-rays, records, labs, referrals, and additional documentation.
  • Maintain accurate and organized patient records.
  • Provide a welcoming, professional, and patient-centered experience.
  • Work collaboratively with doctors, clinical team members, and administrative staff.
  • Demonstrate excellent multitasking, organization, attention to detail, and follow-through.
  • Maintain patient confidentiality and follow HIPAA requirements.
  • Demonstrate reliability, initiative, teamwork, and a strong work ethic.

Qualifications

  • Previous dental office experience preferred.
  • Strong knowledge of dental insurance, benefit verification, insurance breakdowns, and claim submission.
  • Experience with treatment planning and treatment presentation preferred.
  • Excellent customer service and patient communication skills.
  • Excellent phone and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • High attention to detail and accuracy.
  • Dependable, professional, and team-oriented.
  • High school diploma or GED required.
  • Eaglesoft experience is a plus.
  • Bilingual is a plus.

Monday–Thursday: 8:00 AM–5:00 PM
Friday: 8:00 AM–3:30 PM
