Job description

Schillings is seeking a meticulous and highly disciplined Bookkeeper & Office Manager at our Saint John, IN location. They will be responsible for the verification of financial data, ensuring our records are accurate at all times. Additionally, they will oversee daily office operations to maintain a highly organized and efficient workspace that supports the needs of our upper management team.

Duties & Responsibilities:

Office Operations & Administration

  • Handle incoming mail, digital filing, and general administrative requests from the Schilling family and management
  • Managing calendars, arranging meetings/events, and acting as the main point of contact for staff and visitors
  • Act as the main point of contact for office vendors, utilities, and maintenance services
  • Manage the daily flow of the administrative office, ensuring tasks are prioritized to meet strict month-end deadlines
  • Identify bottlenecks in administrative workflows and implement improved systems to increase overall team productivity

Financial & Bookkeeping Management

  • Oversee and perform bank, credit card, and vendor statement reconciliations
  • Perform bookkeeping
  • Review invoices, credit memos, and payment entries to identify and correct discrepancies before they impact the general ledger
  • Track deadlines and ensure compliance

Educations/Required Skills:

  • 5+ years in bookkeeping or staff accounting, preferably within the construction, retail, or building materials industry
