Job Overview

This role will provide administrative and secretarial support to PDC Manager, Supervisors and personnel. 

Responsibilities:

  • Provide administrative support to PDC Site Leader and Team Leaders including:
    preparation of all correspondence, handling and screening incoming telephone calls, meeting all PDC visitors and directing to proper department; maintaining necessary

  • Process material requests, service requests, purchase orders, receipts and vendor invoices in a timely and accurate manner according to company policy and procedures. Compile and verify procard records in PVS system. 

  • Prepare and submit contracts and addendums to subcontractors and HO Purchasing department for approval. Administer PDC Petty Cash Fund. 

  • Maintain and update subcontractors files in compliance with all ISO Standards. Assist PDC Site Leader with ensuring compliance with various Human Resources policies and procedures.

  • Screen applications for employment; inform new employees of benefits and company policies; process and maintain all Personnel records, disability and Worker's Compensation claims. 

  • Maintain Time & Attendance system/records for all PDC employees. Assure stocking and timely reordering of office and lunchroom supplies for PDC,
    assure that most competitive supplier is selected. 

  • Obtain proposals and assure that most competitive supplier is found for needed maintenance and rental services such as janitorial services, etc. Initiate procurement of service as needed and/or coordinate completion of repair or maintenance. 

  • Monitor quality and service of repair or maintenance, supplied/completed. 

  • Maintain fixed assets inventory records, files, opening and distributing mail. 

  • Verify monthly budget comparison statement and analyze discrepancies.
     

Qualifications & Requirements:

High School Diploma (GED) or equivalent work experience


This role also requires the applicant's to have the following Licenses / Certifications
PDC courses in various MBUSA Office Software
Minimum of 3-5 years of office and/or administrative experience
Three - six months Purchasing Policies and Procedures System.
 

Additional Information

Must have 1 - 3 years (total) of experience in the following:

  • Administration Knowledge of administrative procedures, process/project development, and system procedures.

  • Business - General Knowledge of fundamental business practices and concepts that impact the success and profitability of the organization.

  • Human Resources Knowledge of principles and procedures for Compensation and Benefits, Employee Relations, Recruitment and Selection, and
    HRIS.
