Job Title: Marketing Coordinator - Proposals & Pursuits Department: Marketing

Reports to: Marketing Director/Manager Division: Supporting All Business Units

Position Overview: The person in this role supports Kadean's Business Units by coordinating proposal development, maintaining marketing collateral, and ensuring pursuit deliverables reflect the company's First Call approach. This role helps organize information, manage timelines, and communicate Kadean's value across Industrial, Healthcare, and Commercial opportunities.

Operating within Kadean's Business Unit structure, this position ensures marketing resources, messaging, and materials are aligned with sector priorities and available to project teams early in the pursuit process. Through consistent, high-quality deliverables and reliable coordination, this role contributes to positioning Kadean as the first call for clients seeking trusted partnership and project execution.

In addition to pursuit support, this individual provides day-to-day marketing coordination that helps the department operate efficiently across projects, offices, and initiatives.

Key Responsibilities:

1. Proposals & Pursuit Support

  • Assemble and format proposals, qualifications, presentations, and interview materials.
  • Maintain resume, project sheet, and template libraries aligned with Business Unit messaging.
  • Coordinate with Project Development, preconstruction, and operations teams to gather content and meet deadlines.
  • Track pursuit timelines and maintain a calendar of proposals and deliverables.

2. Marketing Coordination & Administrative Support

  • Schedule and coordinate jobsite photography including progress and final photography.
  • Order and manage jobsite signage in collaboration with project teams.
  • Maintain promotional item and apparel inventory, including ordering and distribution.
  • Update internal communications such as the Win Wall, announcements, and milestone recognition.
  • Assist with preparation of meeting deliverables, presentations, and print materials.
  • Support event logistics, invitations, and collateral coordination.
  • Maintain organized digital asset libraries and assist with project data updates.

3. Content & Systems Support

  • Update project information, statistics, and imagery for proposals, website, and internal databases.
  • Assist with CRM and marketing platform organization to support reporting and segmentation.
  • Support development of case studies and Business Unit marketing collateral.
  • Contribute to documentation and continuous improvement of marketing workflows. 

Key Performance Indicators (KPIs)

  • Timely and accurate completion of proposal and pursuit deliverables.
  • Up-to-date resume and project snapshots.
  • Reliable coordination of photography, signage, and administrative marketing tasks.
  • Positive feedback from Project Development and Pursuit Managers.
  • Contribution to creation and maintenance of Business Unit collateral and event support

Qualifications:

  • 1-3+ years of experience in marketing coordination, proposals, or communications. AEC industry experience preferred.
  • Strong organizational skills with the ability to manage multiple deadlines.
  • Attention to detail and commitment to quality in written and visual materials.
  • Strong written and verbal communication skills.
  • Ability to collaborate across departments and gather information from technical teams.
  • Proficiency with Microsoft Office Suite. 
  • Proficiency with Adobe Creative Suite - InDesign.
  • Experience in Canva is preferred.
  • Familiarity with CRM platforms such as HubSpot is a plus.
  • Proactive mindset with willingness to take ownership and improve processes.
  • Associate's or bachelor's degree in Marketing, Communications, Business, Construction Management, or related field preferred.

Work Environment & Physical Abilities:

  • This position primarily operates in an office environment supporting multiple offices and project teams.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional travel to jobsites, events, or offices may be required.
  • Must be able to lift up to 15 pounds for materials, event items, or collateral.
  • Ability to manage multiple priorities in a deadline-driven environment.
