Established Fairfax law firm is seeking an experienced, dependable, and highly organized Bookkeeper / Office Manager to oversee the firm's day-to-day financial and administrative operations.

This is a key position within our firm and requires someone who is comfortable taking ownership of bookkeeping responsibilities while also managing the administrative functions necessary to keep a busy law office running efficiently and doing what it takes to get the job done.

We are looking to fill this position immediately.


Primary Responsibilities –


Bookkeeping & Financial

  • Manage day-to-day bookkeeping and maintain accurate financial records
  • Handle accounts payable and accounts receivable
  • Prepare and process client billing
  • Reconcile bank and credit card accounts
  • Maintain the general ledger
  • Track incoming payments and outstanding receivables
  • Prepare financial reports for management
  • Maintain organized financial documentation and records
  • Assist with year-end accounting and tax preparation


Office Management & Administration

  • Oversee the day-to-day administrative operations of the law firm
  • Maintain office files, records, vendors, and supplies
  • Coordinate employee benefits and administrative HR matters
  • Assist with employee onboarding and personnel documentation
  • Maintain confidentiality of client, employee, and firm financial information
  • Work directly with the firm's attorneys to ensure administrative and financial matters are handled promptly
  • Identify and resolve administrative issues before they interfere with firm operations
  • Perform additional administrative duties as needed


Qualifications

Required:

  • Minimum of 2 years of bookkeeping/accounting experience, preferably with responsibility for full-charge bookkeeping
  • Experience with accounts payable, accounts receivable, bank reconciliations, billing, and general ledger functions
  • Strong organizational and time-management skills
  • Excellent attention to detail and accuracy
  • Ability to work independently and manage competing priorities
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office, particularly Excel and Outlook
  • Ability to handle confidential and sensitive information with discretion


Preferred:

  • Prior law firm or professional-services experience
  • Experience managing office operations
  • Experience with accounting and/or legal billing software


Ideal Candidate

The ideal candidate is someone who is dependable, proactive, detail-oriented, and comfortable taking ownership of their responsibilities. We are looking for someone who does not need to be micromanaged, recognizes what needs to be done, and follows through.

Because this position handles both the firm's finances and administrative operations, reliability, confidentiality, accuracy, and good judgment are essential.
