Job description

We are seeking a detail-oriented and organized Payroll Specialist to join our team. The Payroll Coordinator will be responsible for ensuring accurate and timely processing of employee payroll, maintaining payroll records, and ensuring compliance with applicable laws and regulations. This role is key in supporting HR and accounting functions by maintaining data integrity and providing excellent service to employees.


The ideal candidate is proactive, comfortable working independently, and confident handling complex payroll topics such as garnishments, child support orders, and payroll tax withholdings.

This position requires someone who can not only process payroll but also analyze payroll data, identify discrepancies, and resolve issues with minimal supervision.


Key Responsibilities:

  • Process payroll on a weekly basis
  • Collect, verify, and enter payroll data including hours worked, bonuses, and deductions.
  • Review and reconcile timesheets and attendance records.
  • Analyze payroll data to identify discrepancies, errors, or inconsistencies and take initiative to resolve them
  • Manage and process wage garnishments, including child support orders, tax levies, and creditor garnishments
  • Ensure accurate payroll tax withholding and support employee questions regarding W-4 changes and tax deductions
  • Maintain compliance with federal, state, and local payroll, wage, and hour laws and regulations
  • Prepare and distribute pay statements, direct deposits, and payroll confirmations
  • Respond to employee payroll inquiries with professionalism, clarity, and urgency
  • Maintain accurate payroll records and ensure confidentiality of sensitive employee data
  • Partner with HR and Accounting to ensure changes (new hires, terminations, salary adjustments) are accurately reflected in payroll
  • Prepare payroll reports for management, audits, and year-end reporting (W-2s, 1099s, etc.)
  • Support internal and external audits as needed


Qualifications:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred).
  • 2+ years of experience in payroll or related administrative function.
  • Proficiency with payroll software and MS Office (especially Excel).
  • Strong attention to detail and organizational skills.
  • Knowledge of payroll laws and tax regulations.
  • Excellent communication and problem-solving skills.
  • Ability to handle sensitive information with confidentiality.


Preferred Qualifications:

  • Experience with Isolved or Employdrive
  • CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) is a plus.
