Job description

IP Legal Assistant


A distinguished law firm is seeking an IP Legal Assistant to support a team of attorneys within its intellectual property practice. This role provides administrative and clerical support including document preparation, docket and deadline management, client communication, and use of IP-specific practice management systems. The position operates in a fast-paced legal environment with a focus on accuracy, organization, and deadline management.


Compensation & Benefits:

• Base salary between $52,500 - $71,000 annually (DOE)

• Hybrid work option


Duties and Responsibilities:

• Prepare, draft, and format legal documents, correspondence, and filings related to intellectual property matters

• Proofread documents for accuracy in grammar, spelling, punctuation, and formatting

• Manage attorney calendars, including IP deadlines, USPTO filings, court dates, depositions, hearings, and travel arrangements

• Track and manage intellectual property deadlines, docketing entries, and prosecution timelines

• Assist with client intake, file management, and organization of electronic and physical case files

• Maintain confidentiality and ensure accuracy in handling sensitive legal and client information


Job Requirements:

• 1+ year of administrative experience in a legal environment required

• Associate or Bachelor’s degree preferred

• Knowledge of intellectual property terminology, legal documents, USPTO procedures, docketing, and electronic filing systems preferred

• Strong technical skills, including Microsoft Office and document management systems

• Excellent proofreading, organizational, multitasking, and time management abilities
