The ideal candidate will be the first point of contact for our patients, setting the tone for a positive and caring experience.

Job Summary: As a Medical Intake Representative, you will play a crucial role in managing the flow of our medical office operations. You will be responsible for handling incoming calls, registering new patients, sending email correspondence, scheduling patient appointments, and ensuring that all patient interactions are handled with empathy, efficiency, and professionalism.

Key Responsibilities:

  • Answer and manage incoming calls with professionalism and in a timely manner.
  • Register new patients into the EMR system, ensuring accuracy in data entry and documentation.
  • Email new patients to request necessary documents, providing clear instructions and deadlines.
  • Schedule and confirm patient appointments, managing the calendar to optimize patient flow and satisfaction.
  • Route calls to appropriate individuals and departments within the office, ensuring clear and concise communication.
  • Perform clerical and administrative tasks, including but not limited to filing, data entry, and maintenance of patient records.
  • Maintain confidentiality and adhere to HIPAA regulations at all times.

Qualifications:

  • High school diploma or equivalent; further certification in office management or medical administration is a plus.
  • Bilingual is a plus.
  • Proven experience as a receptionist, intake coordinator, or similar role, preferably in a healthcare setting.
  • Excellent communication skills, both written and verbal.
  • Proficiency in MS Office 365 and patient management software.
  • Strong organizational and multitasking abilities.
  • Strong attention to detail.
