Fenix Staffing is a growing staffing agency dedicated to connecting talented individuals with outstanding employment opportunities. We are seeking a motivated, organized, and results-driven professional to join our team as a Bilingual Recruiter / Administrative Assistant.

This position combines recruiting, customer service, and administrative responsibilities. We are looking for someone with a positive attitude, strong organizational skills, excellent communication abilities, and the capacity to multitask in a fast-paced environment while working closely with management to achieve company goals.

Recruiting Responsibilities

  • Post job openings on Indeed, ZipRecruiter, social media platforms, and other recruiting sources.
  • Source, recruit, and screen qualified candidates for various positions.
  • Conduct daily outbound calls to prospective candidates to assess interest and availability.
  • Follow up with applicants throughout the hiring process.
  • Conduct phone and in-person interviews.
  • Schedule interviews and coordinate hiring activities.
  • Assist with onboarding and new hire orientation.
  • Verify employment eligibility and required hiring documentation.
  • Coordinate background checks, drug screenings, and employment verifications.
  • Maintain ongoing communication with candidates, employees, and clients.
  • Build and maintain a strong pipeline of qualified candidates.
  • Meet weekly and monthly recruiting goals.
  • Develop and maintain a personal candidate network for future staffing needs.
  • Build professional relationships within the community to generate referrals and candidate leads.
  • Utilize social media, referrals, networking, and community outreach to attract qualified talent.
  • Contribute new recruiting ideas and strategies to improve candidate sourcing efforts.

Administrative Responsibilities

  • Maintain accurate and up-to-date employee applications and personnel files.
  • Ensure all required hiring documents are completed and properly organized.
  • Scan, photograph, upload, and organize employee documentation in company systems.
  • Complete and process all required state and federal employment forms.
  • Enter employee and candidate information accurately into Excel spreadsheets and company databases.
  • Maintain organized and updated physical and electronic employee files.
  • Follow up on missing documents and ensure compliance requirements are met.
  • Perform data entry with a high level of accuracy and attention to detail.
  • Answer incoming calls and provide professional customer service.
  • Manage emails, appointments, and daily administrative tasks.
  • Assist with payroll-related documentation, attendance records, and employee paperwork.
  • Support daily office operations and administrative functions.

Qualifications & Requirements

  • Fluent in both English and Spanish (Required).
  • Full-time availability.
  • Previous experience in recruiting, staffing, human resources, or office administration preferred.
  • Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
  • Experience using Indeed, ZipRecruiter, ATS systems, or staffing software is a plus.
  • Strong organizational and multitasking skills.
  • Ability to work under pressure and meet deadlines.
  • Excellent communication and customer service skills.
  • Ability to effectively manage time throughout an 8-hour workday.

Schedule & Holiday Requirements

  • Monday through Friday.
  • Candidates must be dependable, punctual, and flexible to meet business needs.
  • Fenix Staffing operates during most holidays to support our clients and employees.
  • Employees are expected to work on most holidays, typically until 12:00 PM (Noon).
  • The office is closed only on the following major holidays:
    • New Year's Day
    • Memorial Day
    • Independence Day (July 4th)
    • Christmas Day
