This position combines recruiting, customer service, and administrative responsibilities. We are looking for someone with a positive attitude, strong organizational skills, excellent communication abilities, and the capacity to multitask in a fast-paced environment while working closely with management to achieve company goals.
Recruiting Responsibilities
- Post job openings on Indeed, ZipRecruiter, social media platforms, and other recruiting sources.
- Source, recruit, and screen qualified candidates for various positions.
- Conduct daily outbound calls to prospective candidates to assess interest and availability.
- Follow up with applicants throughout the hiring process.
- Conduct phone and in-person interviews.
- Schedule interviews and coordinate hiring activities.
- Assist with onboarding and new hire orientation.
- Verify employment eligibility and required hiring documentation.
- Coordinate background checks, drug screenings, and employment verifications.
- Maintain ongoing communication with candidates, employees, and clients.
- Build and maintain a strong pipeline of qualified candidates.
- Meet weekly and monthly recruiting goals.
- Develop and maintain a personal candidate network for future staffing needs.
- Build professional relationships within the community to generate referrals and candidate leads.
- Utilize social media, referrals, networking, and community outreach to attract qualified talent.
- Contribute new recruiting ideas and strategies to improve candidate sourcing efforts.
Administrative Responsibilities
- Maintain accurate and up-to-date employee applications and personnel files.
- Ensure all required hiring documents are completed and properly organized.
- Scan, photograph, upload, and organize employee documentation in company systems.
- Complete and process all required state and federal employment forms.
- Enter employee and candidate information accurately into Excel spreadsheets and company databases.
- Maintain organized and updated physical and electronic employee files.
- Follow up on missing documents and ensure compliance requirements are met.
- Perform data entry with a high level of accuracy and attention to detail.
- Answer incoming calls and provide professional customer service.
- Manage emails, appointments, and daily administrative tasks.
- Assist with payroll-related documentation, attendance records, and employee paperwork.
- Support daily office operations and administrative functions.
Qualifications & Requirements
- Fluent in both English and Spanish (Required).
- Full-time availability.
- Previous experience in recruiting, staffing, human resources, or office administration preferred.
- Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
- Experience using Indeed, ZipRecruiter, ATS systems, or staffing software is a plus.
- Strong organizational and multitasking skills.
- Ability to work under pressure and meet deadlines.
- Excellent communication and customer service skills.
- Ability to effectively manage time throughout an 8-hour workday.
- Ability to work independently and as part of a team.
- Strong sense of urgency, initiative, and accountability.
- Positive attitude and willingness to learn.
- Reliable attendance and strong work ethic.
- Ability to develop a personal candidate network and generate referrals.
- Reliable transportation and a valid driver's license are required.
- Must have a dependable vehicle for commuting to and from the office.
Schedule & Holiday Requirements
- Monday through Friday.
- Candidates must be dependable, punctual, and flexible to meet business needs.
- Fenix Staffing operates during most holidays to support our clients and employees.
- Employees are expected to work on most holidays, typically until 12:00 PM (Noon).
- The office is closed only on the following major holidays:
- New Year's Day
- Memorial Day
- Independence Day (July 4th)
- Christmas Day
