SUMMARY

This role owns the strategy, planning, and execution of Butler/Till's conference, event, and speaking engagement presence, from initial concept through post-event analysis. Serving as the central point of coordination, this individual manages complex event logistics, vendor partnerships, budgets, and event technology while delivering high-impact, on-brand experiences. The role also acts as a trusted partner to senior leaders, ensuring seamless, white-glove support for speaking engagements, panels, and stakeholder interactions. With a strong eye for brand consistency and experience design, this position plays a key role in elevating Butler/Till's visibility, thought leadership, and return on event investment.

The ideal candidate is a masterful organizer who leads with ownership, anticipation, and a hospitality first mindset. They operate proactively, solving problems before they surface, while remaining calm and confident in highs takes, fast paced environments. As a polished and trusted communicator, they engage seamlessly with C-suite leaders and external stakeholders, bringing an operator's mentality to every detail and delivering experiences that feel effortless to those inside them.

KEY OUTCOMES & RESPONSIBILITIES

Key Outcome: Deliver seamless, scalable events with strong ROI, budget discipline, and operational consistency.

Key Responsibilities:

  • Own the full event lifecycle: venue/booth selection, registration, travel coordination, on-site logistics, and post-event wrap-up
  • Maintain a master events calendar with all deadlines, deliverables, and dependencies across the marketing team
  • Manage vendor relationships, AV, production, catering, signage, swag, and experiential partners
  • Own event budgets end-to-end; from initial planning through post-event reconciliation, including surfacing trade-off decisions to leadership and tracking ROI metrics that inform future investment decisions
  • Manage RFP from evaluation to implementation for an event tech stack suited to Butler/Till's needs (Cvent, Eventbrite, Splash, or similar); this role will help shape how we manage events at scale going forward

Key Outcome: Coordinate unified, onโ€brand speaking and panel engagements that elevate executive presence.

Key Responsibilities:

  • Manage all logistics for Butler/Till speakers and panelists, including briefing materials, travel arrangements, and on-site support
  • Coordinate with conference organizers to confirm session details, run-of-show, A/V specs, and co-panelist introductions
  • Prepare senior leaders with talking points, bios, headshots, and any requested pre-event materials
  • Serve as the primary liaison between Butler/Till executives and external event producers or program directors

Key Outcome: Execute premium executive and stakeholders' experiences that deepen client, industry, and seniorโ€level relationships.

Key Responsibilities:

  • Create seamless, white-glove experiences for Butler/Till leadership at every event โ€” anticipating needs before they arise
  • Coordinate VIP client and prospect engagements including dinners, hosted receptions, and curated meeting schedules

Build and maintain relationships with senior contacts at key conference organizations and industry associations

Key Outcome: Deliver onโ€brand, highโ€impact event experiences that elevate brand presence.

Key Responsibilities:

  • Ensure all event environments, booths, signage, materials, and collateral strictly follow brand guidelines and quality requirements
  • Collaborate with the creative team to develop event-specific assets and branded moments that create a lasting impact

QUALIFICATIONS

  • REQUIRED
  • Bachelor's degree in Marketing, Communications, Hospitality, or related field preferred
  • 5โ€“8+ years of event management or conference coordination experience, preferably in B2B marketing, agency, or media
  • Proven experience managing high-profile events with executive-level stakeholders and senior external participants
  • Experience coordinating speaker and panel logistics at industry conferences
  • Familiarity with event management platforms (Cvent, Eventbrite, Splash, or similar) and the judgment to recommend the right tools for a growing program
  • Exceptional project management skills; experience with Asana, Monday.com, Notion, or similar
  • Strong written and verbal communication skills โ€” executive briefings, vendor contracts, and event recaps with equal ease
  • Ability to travel to events as required (estimated 20โ€“30%)

COMPENSATION

Butler/Till is committed to providing pay transparency of our compensation philosophy and ensuring equitable pay practices for our employee owners. The compensation range for this position is $62,000 - $98,000 and represents the annual salary range in Rochester, NY. Base pay offered may vary depending on multiple individualized factors, including location, skills, and experience.

This is just one component of Butler/Till's total compensation package for employee owners. The total compensation package for this position may also include other elements, including ESOP (employee stock ownership plan), an annual bonus, in addition to a full benefits package, and paid time off benefits, including 100% paid parental leave. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
