HOLLA School is a public, tuition-free K-5 charter school sponsored by the Reynolds School District. Our foundational belief is ALL children are abundant, brilliant and creative. The HOLLA School mission is To change the academic narratives of Black, Brown and Indigenous youth by honoring lived experiences, catalyzing genius and centering joy.
COMPENSATION:
Salary for this position is determined by the HOLLA School salary schedule and dependent upon relevant experience, which includes professional development, supervision, licensure held and areas of endorsement. This is a full time, exempt position. Salary is in addition to full medical, vision, and dental insurance, and PERS retirement benefit contributions (eligible immediately for current PERS participants, eligible 6 months after employment begins for new PERS participants).
JOB DESCRIPTION:
The Director of Operations is part of the HOLLA School Leadership Team. This role is responsible for managing day to day and long term operations of HOLLA School, including as a HOLLA School liaison between various contractors and vendors.
The Director of Operations is responsible for facilitating the day to day logistics of the school, including creating and improving systems and processes, supervising the front desk operations, and coordinating the school calendars to reflect events, testing dates, etc.
Central to this role is the ability to work within RSD and ODE compliance systems and structures required for HOLLA Schoolwith, while identifying adaptable areas to fully embody the school's mission, vision, and values in an effort to create a culturally honoring ecosystem, allowing for the academic narratives of Black, Brown, and Indigenous scholars to be rewritten.
This role requires a high level of organization, consistency, and ability to communicate clearly through both written and verbal paths. As a person representing HOLLA School to community and education partners, as well as HOLLA School scholars and families, the role requires the embodiment of HOLLA School's mission and values of identity, skill development, intellectualism, criticality, joy, and orientation in the world.
DUTIES INCLUDE:
  • Policy
    • Ensure all policies and handbooks are updated and communicated across HOLLA School, including staff, board, and other constituents as needed (eg, transportation, field trips permission forms, etc)
    • Maintain the Family Handbook, Emergency Procedures Handbook, Board Handbook, and Employee Handbook according to the board's direction and other compliance requirements
    • Support admissions and enrollment forms and policy creation
    • Collaborate with Spanish speaking staff and volunteers to create Spanish versions of all handbooks and forms
    • Track all RSD and ODE policy updates, working to implement at HOLLA School
  • Technology
  • Manage all school technology needs, including managing scholar Chromebooks and staff computers (antivirus, endpoint protection, ordering, etc)
  • Create, maintain, and update cybersecurity plan as needed
  • Track, manage, and facilitate repairs/replacements for all pieces of technology
  • Manage the school REMIND account
  • Nutrition Services
    • Collaborate with the Administrator to ensure HOLLA School is in compliance with all school meal regulations, trainings, etc
    • Ensure meal ordering is accurate and adjust as needed to reduce food and financial waste
  • Building Operations
    • Work with RSD for all property and building maintenance
    • Be the point person for security company and cameras
    • Request, manage, and track all staff keys and badges
    • Manage lease agreements
    • Check AED units monthly and replace parts as needed
    • Manage all permits (alarm, elevator, etc)
    • Manage building related projects
    • Manage all building use requests
    • Maintain calendar of all events
    • Maintain all inventory and asset sheets
    • Manage all contractors and contracted projects
  • Scholar and staff support
    • Act as the substitute Office Manager when the Office Manager is unavailable
    • Ensure staff appreciation happens at the end of each school year, birthdays, etc in collaboration with the Office Manager
    • Draft weekly staff and family communications
  • Human Resources
    • Employee onboarding, termination, role changes
    • Manage hiring processes: posting jobs, screening and communicating with candidates, scheduling interviews, completing follow ups
    • Support employee understanding of benefits, time off, etc
    • Ensure state and federal compliance,including posting notices, etc
    • Create and update all job descriptions, offer letters, other documentation
  • Emergency and health planning
    • Create and maintain all emergency planning documents
    • Schedule and facilitate all safety drills
    • Create and maintain all health directives
    • Schedule needed CPR trainings for staff
    • Lead the HOLLA School Safety Committee
  • Partnerships and Development
    • Organize and schedule field trips in collaboration with all staff
    • Communicate with and support volunteers including work days, trainings, and appreciation- both individuals and corporations
    • Use Synergy as needed to pull data and reports as needed for the leadership team and fundraising teams
    • Help guide and track grant spending in accordance with grant budgets and awards
  • Insurances
    • Maintain a positive relationship with HOLLA School's insurance broker to aid in risk and policy questions and decision making
    • Ensure HOLLA School is insured in accordance with the charter contract
    • Attend trainings and implement guidances as needed

QUALIFICATIONS:
Education:
  • Bachelor's Degree, equivalent or higher in a related field; or combined relevant experience

Experience:
  • Operations management
  • Maintaining financial systems in accordance with relevant governance
  • Working with diverse people in diverse settings
  • Creating, implementing, and maintaining operational systems and structures
  • Developing systems that decenter whiteness, focus on building for sustainability, and are grounded in the mission, vision, and values of HOLLA School
  • Coordinating and managing various concurrent projects, including formation, planning, communication with all stakeholders, and completion/reporting as required
