Job description

Project Management Support Specialist


ATI is seeking a highly motivated, qualified, and experiencedProject Management Support Specialist. Position will support project administration on a facility management services contract at a new federal facility located in Springfield, Virginia. This role involves working in secure environments in support of mission-critical operations.

Duties and Responsibilities

Duties may include, but not be limited to, the following:



1. Project Administration & Coordination

  • Provide daytoday administrative support to the Facility Manager and Project team.
  • Coordinate project meetings, prepare agendas, take minutes, and track action items.
  • Maintain project calendars, schedule inspections, site visits, and stakeholder meetings.
  • Assist with project onboarding tasks such as access requests, schedule interviews, safety orientations, and site access/



2. Document Control & Reporting

  • Maintain accurate logs for submittals, RFIs, change events, drawings, and technical documents as applicable.
  • Ensure documents are distributed, tracked, and archived according to project requirements.
  • Prepare and update weekly and monthly project status reports as needed.
  • Ensure that electronic and hardcopy project files are structured and accessible.
  • Support CMMS Administrator with the Computerized Maintenance Management Systems (CMMS) and hard copy records library.



3. Facility Management Support

  • Assist with permit requests, work authorization forms, and daily siteactivity tracking.
  • Coordinate site access for staff, visitors and vendors with site security
  • Coordinate and track deliveries, equipment tracking, and inspection support.
  • Help maintain logs of manpower, equipment utilization, and work progress.
  • Support QA/QC activities by collecting field documentation and filing reports.



4. Procurement, Invoicing & Budget Support

  • Assist with vendor coordination, material requisitions, and purchase orders.
  • Place and track orders for services, supplies, equipment and materials independently or as instructed.
  • Track invoices, receipts, and contract deliverables to support budget monitoring, and coordinate with accounting to ensure timely vendor payments.
  • Maintain procurement logs and assist in gathering pricing quotes.



5. Communication & Stakeholder Support

  • Serve as a communication bridge between vendors, facility owner/occupants, and management.
  • Draft correspondence, notifications, and update memos for internal and external stakeholders.
  • Support clientfacing activities, ensuring professionalism and timely responses.


6. Data, Compliance & Recordkeeping

  • Maintain accurate records for compliance, safety, and environmental documentation.
  • Assist in preparing audit or inspection materials for regulatory or internal review.
  • Track training requirements, safety documentation, and performance metrics.


Required Qualifications and Experience


  • Candidates must be US Citizens
  • Must be eligible to obtain and maintain clearance; Candidate must be able to work independently in a secure or sensitive environment;
  • Minimum of 2 years of knowledge management experience, preferably in support of Federal agencies;
  • Bachelor's degree in relevant field is preferred but not required;
  • Experience with a CMMS (WebTMA, Builder) is a plus;
  • Proficiency with Microsoft Office Suite (Teams, Word, Excel, Access) is required. Advanced Excel skills preferred;
  • Demonstrated attention to detail with a focus on quality control in client deliverables; and
  • Strong interpersonal and customer service skills.

Location: In person, Springfield, VA


Working Hours:Normal Work Hours - Monday - Friday (anticipate 40 per week).
