Job Summary
In this role, a variety of tasks are performed to assist in managing the vendor programs designed to bring variety and new services to the Microsoft employee. Excellent communication skills, attention to detail and the ability to prioritize and manage multiple projects are required. This role is primarily focused on supporting the vendor partnerships with daily organization, data entry, communication, follow-up, onboarding, and project related tasks to ensure the compliance and growth of vendor programming.
Supervisory Responsibilities:
Indirect assistance with operations team East Campus & supporting The Commons
Essential Functions and Responsibilities:
  • Static East Campus, Commons, RTS, & Pop-Up Vendors
    • Scheduling and communication
      • Maintaining vendor availability
      • Communications with vendor owners
      • Create contingency procedures that ensure alternative services are offered to Microsoft employees with unplanned absences.
      • Health Department Permit & score tracking
      • QBR & meeting schedules
      • Support events and align Pop-Up scheduling with MS events.
    • Data entry
      • Tracking of sales & transactions
      • Maintaining vendor list, folders & pipeline
      • Invoice communication, financial compliance & tracking
      • Tracking of contractual, pricing & COI compliance
    • Contract management
      • Insurance and contractual compliance
      • Logistical setup and maintenance of vendors
      • Vendor management tool & MyHub upkeep
      • Additional contract related duties as they arise.
    • Facility Management and Business Services
      • Conduct and schedule KPI & QA audits, ensuring all vendors are adhering to Compass, Microsoft, and KCHD guidelines.
      • Complete regular operational excellence walkthroughs
      • Tracking weekly vendor check-ins through Microsoft Forms Tool, and reporting results
      • Monitor inbox and consistently ensure timely, thorough, and thoughtful email responses.
      • Perform last minute requests and changes with ease and precision; including but not limited to reschedules and cancelations.
      • Manage all communications to respective stakeholders.
      • Schedule quarterly business reviews on behalf of General Managers and Sr. Project Manager and prepare all needed reports and documentation for the meeting.
    • Financial Responsibilities
      • Manage brand invoicing process, including making necessary changes to the invoice, and reporting any possible incongruencies.
      • Setup of financial framework with new vendors with the support of Finance
      • Able to perform arithmetic operations involving all United States monetary units (add, subtract, multiply, divide). Must be able to differentiate between monetary units.
    • Escalation Support - Direct Manager
      • Identify when escalation is necessary.
      • Escalate professionally as needed.
      • Handle issues as they arise through the proper administrative and escalation channels.
      • Contact appropriate escalation points as needed to resolve issue.

Flexibility and Growth
  • Adapt positively to needs and requests made by direct Manager or client
  • Recommend updates to improve vendor programming
  • Think outside the box and look at the bigger picture
    • Track, metrics and documentation
      • Track and calculate monthly, quarterly and annual metrics
      • Ensure accurate documentation of tracking, calculations and over all metrics
      • Update the items tracked as needed to fit the interest of the business
      • Compile presentation data
      • Make prompt and thorough updates to Training Manual and templates as processes grow and evolve
      • Implement Inclement Weather (IW) process as needed and ensure IW documentation is up to date and accurate
    • Maintain clean and safe work environment, perform job safely
    • Other duties as assigned

Qualifications
  • 2 years of Hospitality/Restaurant Experience preferred
  • 2 years of Vendor Management preferred
  • Financial Experience preferred
  • Data entry and M365 suite
