A DAY IN THE LIFE OF A CUSTOM HOMES ASSISTANT PROJECT MANAGER

As an Assistant Project Manager, you support the Project Manager in coordinating the scheduling, documentation, procurement, and financial tracking for our Custom Homes Division. You help keep projects organized, financially accurate, and on schedule from preconstruction through closeout.

You maintain key project documentation, including RFIs, submittals, permits, inspections, material deliveries, change orders, schedules, and closeout documentation. You also maintain accurate project information in Procore, Monday.com, Dynamics, and other company databases, ensuring budgets, schedules, manpower, KPIs, and reporting are kept current.

You assist the Project Manager with project planning, scheduling, procurement, forecasting, invoicing, accounts receivable, and project progress reporting. You will prepare and manage purchase orders, work orders, service orders, subcontracts, O&M manuals, and other project documentation.

You help coordinate material procurement, equipment deliveries, inspections, and trade licensing requirements to support the successful execution of each project. You will also assist with contract and subcontract review and help ensure all required documentation is completed throughout the project.

Using your excellent communication and organizational skills, you serve as a liaison between Project Managers, field personnel, accounting, purchasing, builders, vendors, subcontractors, and customers. You will help coordinate meetings, follow up on outstanding items, communicate schedule changes, and provide timely updates to keep everyone aligned.

The Custom Homes Division manages highly customized HVAC and plumbing projects that involve multiple stakeholders, changing construction documents, complex procurement schedules, and strict financial controls. Success in this role requires someone who can manage multiple priorities, stay organized, pay close attention to detail, communicate proactively, and identify potential issues before they become project problems.

QUALIFICATIONS FOR A CUSTOM HOMES ASSISTANT PROJECT MANAGER

  • High school diploma or GED required
  • Minimum of three (3) years of work-related experience in construction, project management, assistant management, and/or administrative support
  • Excellent computer skills with Microsoft Office products, including Microsoft Project and Access
  • Prior financial experience or aptitude preferred
  • Strong analytical and organizational skills with excellent attention to detail
  • Ability to analyze problems and make decisions
  • Ability to effectively manage competing priorities in a fast-paced environment
  • Excellent verbal and written communication skills
  • Valid driver's license

Experience with Procore, Monday.com, Dynamics, or other project management systems is a plus.
