Description
The Office Assistant serves as the first point of contact for visitors, providing a welcoming and professional atmosphere. This role involves managing front desk operations, handling administrative tasks, and ensuring smooth communication between departments when guests arrive.

Key Responsibilities
  • Front Desk Management
  • Greet visitors, clients, and team members with a friendly and professional demeanor.
  • Direct visitors to the appropriate department, and take messages as needed. Maintain a clean and organized and welcoming reception area.
  • Administrative Support
  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Assist with data entry, filing, and maintaining company records.
  • Prepare and distribute internal communications or reports as needed.
  • Backup and coordination duties for the People and Culture team. Help with facilities coordination, including space planning, moves and other events as applicable.
  • May assist in onboarding activities.
  • Customer Service
  • Address general inquiries from visitors and clients in person, by phone, or via email.
  • Provide basic information about the organization, services, and facilities.
  • Escalate complex queries or concerns to the appropriate team or leader.
  • Office and Facilities Coordination
  • Order and maintain office supplies and equipment.
  • Coordinate with vendors for maintenance and repairs.
  • Support staff with administrative tasks and requests.
  • Prepare, set up, and arrange catering for company wide meetings/lunches.
  • Support for special events and projects as needed, in coordination with the People Team.
  • Ordering company snacks, and stocking, refilling water supplies and snacks within the kitchens.
  • Must participate in setting and achieving regularly scheduled and outlined objectives.
  • Upkeep with cleaning the kitchen and making sure there is no overflow of kitchen trash can.

Requirements
  • Prior experience in a receptionist or administrative role is an advantage.
  • Proficiency with Microsoft Office and Google Workspace.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.

Work environment - When in the main office, expect a comfortable, air-conditioned work environment. Team members are issued their own desks, but the office is an open, shared space and can be fast-paced and occasionally noisy.
