We are looking for a qualified Receptionist & Construction Administrative Assistant who supports construction leadership & Office Manager by welcoming and orienting those who visit our office or call our main line, monitor and track incoming bid opportunities, track PTO requests for craft workers, update our labor and equipment schedule, and support one-off construction administration projects. This position is in-person located in our Salt Lake City, Utah office.

DUTIES & RESPONSIBILITIES
Receptionist Responsibilities
  • Greeting Guests - Greeting visitors and clients in a friendly and professional manner.
  • Directing Calls - Answering and directing phone calls to the appropriate individuals or departments.
  • Front Office Management - Handling incoming and outgoing mail and packages and distributing to the appropriate individuals or departments. Ensure the front office area, front conference room, and lobby are kept clean, organized, and professional looking.
  • Manage outgoing and incoming mail and packages

Construction Administration Support
  • Track and review incoming bid opportunities
  • Ensure that our CRM tracking our bids are up to prevent missed bids and ensure accurate metrics
  • Support the creation of initial project schedules
  • Maintain the craft worker PTO calendar
  • Reconcile the equipment and labor schedule
  • Collaborate on the creation of unit tracker/construction completion tools

QUALIFICATIONS & COMPETENCIES
  • High School Diploma or equivalent experience
  • Two years of office, clerical, or receptionist experience
  • Knowledgeable with Microsoft Office suite including Outlook, Word, and Excel in particular
  • Spanish Fluency
  • Able to learn proprietary software
  • The ability to search for products and services online, place orders, and track packages
  • Strong written and verbal communication skills
