The Supervisor of Shared Services Operations leads a high-impact team responsible for centralized operational functions that support Implementation, Services, and Compliance across the organization. This role owns end-to-end workflows for mail processing, driver and asset data management, system configuration builds, document imaging, and cross-functional operational support.ย
This leader ensures accuracy, scalability, compliance, and continuous improvement across aย function processingย tens of thousands of documentsย annuallyย and resolvingย 10,000+ tickets per year, while serving as a critical backbone to client onboarding and ongoing service deliveryย ย
Key Responsibilitiesย
People & Team Leadershipย
- Lead, coach, and develop the Shared Services team, including workload prioritization, performance management, and career developmentย
- Establish clear operating rhythms, SLAs, and accountability across a high-volume transactional environmentย
- Foster a culture of quality, ownership, and continuous improvementย
Operational Ownershipย
- Own centralized operational services including:ย
- Mail room intake, scanning, Salesforce cataloging, and distributionย
- Driver data management (document imports, qualification files, status updates)ย
- Asset data management (registrations, title retention, asset status lifecycle)ย
- Physical document warehousing and retention processesย
- Ensure accuracy, completeness, and compliance across all document and data workflowsย
Implementation & Services Supportย
- Partner closely with Implementation and Services teams to support:ย
- Job classย buildsย andย trackedย document settingsย
- Driver and asset list importsย
- EFleetย form builds and updatesย
- Client manuals and sample file reviewsย
- Act as an escalation point for complex or high-risk casesย impactingย go-live or client operationsย
Systems & Process Excellenceย
- Oversee work executed inย CPSuite, Salesforce, JIRA, and document imaging systemsย
- Identifyย process gaps, automation opportunities, and efficiency improvementsย
- Standardize workflows and documentation to enable scale and consistencyย
Compliance & Risk Managementย
- Ensure proper handling and retention of sensitive data (PII, driver records, titles, POAs)ย
- Maintain audit-ready processes for document storage, release, and lifecycle managementย
- Partner with Legal, Compliance, and Security as neededย
Cross-Functional Collaborationย
- Serve as a trusted operational partner across Implementation, Services, Fuel Tax, and Product teamsย
- Provideย operational insights, metrics, and recommendationsย toย leadership ย
Qualificationsย
Requiredย
- 2+ years of experience in operations, shared services, or process-driven environmentsย
- Strong process design, documentation, and continuous improvement mindsetย
- Comfort working across multiple systems and workflows simultaneouslyย
Preferredย
- Familiarity with Salesforce, JIRA, or similar workflow/ticketing systemsย
