You'll supervise a team of four administrative professionals while actively participating in daily front desk operations, including high-volume mail processing, client reception, and administrative support. Position Overview

This is a hands-on leadership role. The Front Desk Operations Manager is responsible for supervising a team of four Front Desk Administrative Assistants while performing the same essential front desk and mail management duties. The ideal candidate leads by example, maintains high standards of professionalism, and ensures the front office operates efficiently each day.

Mail management is a critical function of this position. The successful candidate will oversee the timely processing of high-volume incoming and outgoing mail while ensuring the team consistently meets quality, accuracy, and productivity standards.

Key Responsibilities

Team Leadership & Management

  • Supervise, coach, and support a team of four Front Desk Administrative Assistants.
  • Monitor daily workflow and assign responsibilities to ensure operational efficiency.
  • Provide training and ongoing development for team members.
  • Maintain accountability for attendance, punctuality, performance, and productivity.
  • Foster a positive, collaborative, and professional work environment.
  • Directly working and reporting to the Firm Administrator.

Front Desk Operations

  • Greet and assist clients, attorneys, medical providers, vendors, and visitors with professionalism and courtesy.
  • Answer and direct incoming phone calls.
  • Ensure the reception area remains organized, welcoming, and professional.

Mail Management (Primary Operational Focus)

  • Open, sort, and distribute a high volume of incoming mail daily.
  • Review and ensure mail is accurately scanned into the firm's AI-powered legal systems.
  • Monitor time-sensitive correspondence and ensure prompt routing to the appropriate departments.
  • Prepare certified mail, FedEx, UPS, courier deliveries, and outgoing USPS mail.
  • Maintain quality control and establish efficient mail processing procedures.

Administrative Operations

  • Work alongside the front desk team to complete daily administrative tasks.
  • Coordinate office supply inventory for reception, conference rooms, and kitchen areas.
  • Assist with conference room setup, meetings, refreshments, and special office events.
  • Identify opportunities to improve front desk processes and operational efficiency.

Qualifications

  • Bilingual in English and Spanish is required.
  • Previous supervisory or management experience required.
