(Chicago/Hybrid) The position of Direct Mail Associate is toprovide support for Direct Mail team by providing administrative support, project and process management, and collaboration with internal and external partners. This position will support donor cultivation and acquisition to continue to generate donations to these channels and ensure departmental success. This position is based in our downtown Chicago headquarters.

We are seeking an individual with Bachelorsโ€™ degree or equivalent experience. Minimum of 3-5 years of experience in a professional office environment in an administrative support capacity. Non-profit environment or experience in direct response marketing, especially direct mail is preferred.

Essential responsibilities include:

Campaign Support:

  • Proofread all Direct Mail campaign mailings, following the review and approval process and communicating final version of mailings to stakeholders.
  • Oversee and manage quality control of all codes, motivation groups, and kits.
  • Review campaign data.
  • Maintain and update Production Schedule.

Department Support and Project Management:

  • Deliver support to department staff by planning, coordinating, and scheduling. Track action items and follow up with department staff, internal and external partners to ensure campaigns are carried out in a timely fashion and department is achieving departmental goals.
  • Assist with tracking and updating standard operating procedures (SOPโ€™s).
  • Coordinate receipt letter process with Editorial and Direct Mail teams. Send receipt inserts to the printer and arrange delivery each month.
  • Maintain effective archival systems, including digital and physical samples.
  • Additional projects as determined by departmental and organizational needs.

Technical & Individual Skills:

  • Intermediate to advanced level proficiency in Microsoft Office applications (Word, Excel, Power Point, Outlook, Adobe) and Internet search engines.
  • Intermediate level proficiency using donor or customer databases, Salesforce preferred.
  • Demonstrated success in Donor Services programs.
  • Excellent verbal and written communication skills, particularly the ability to write effectively and concisely. Excellent proofreading and editing skills.
  • Excellent customer service skills are necessary to efficiently and professionally interact with vendors and staff, including senior management.
  • Strong attention to detail and accuracy required.
  • Ability to simultaneously manage high volume of multiple tasks and projects with strict or competing deadlines.
  • Knowledge and understanding of Christian and Jewish faiths
