About the Role 

The Lodging Logistics Specialist – Basecamp Operations is responsible for managing on-site lodging logistics in support of National Guard operations. This role serves as the primary point of coordination for lodging assignments, ensuring Service Members are efficiently housed in accordance with policies.

This position operates within the THS Pro system to intake, process, and manage lodging requests while maintaining real-time accuracy of barracks assignments and occupancy. The Lodging Logistics Specialist plays a critical role in delivering organized, efficient, and hospitable lodging operations in a fast-paced, mission-driven environment.

Key Responsibilities

Lodging Request Management & System Processing

  • Receive and process lodging requests from the Texas Military Department and designated National Guard Unit.
  • Input and manage all lodging requests within THS Pro, ensuring accuracy and completeness.
  • Assign barracks and units based on set policies
  • Utilize THS Pro to prevent double bookings and capacity conflicts.
  • Maintain real-time lodging rosters and always ensure system accuracy

Barracks Assignment & Occupancy Management

  • Ensure all Service Members are assigned appropriate lodging prior to arrival
  • Monitor occupancy levels and adjust assignments to maximize efficiency and compliance.
  • Track and manage arrivals, departures, and extensions.

Check-In / Check-Out Operations

  • Facilitate efficient and organized check-in and check-out processes for all Service Members.
  • Ensure Service Members have clear direction and access to assigned barracks upon arrival.
  • Provide immediate resolution for check-in issues, including arrival of Service Members who do not have a reservation.
  • Ensure proper check-out procedures are completed within THS Pro.

Discrepancy Resolution & Problem Solving

  • Resolve lodging discrepancies in real time
  • Coordinate with the Texas Military Department, THS Leadership and THS teams to resolve conflicts quickly and effectively.
  • Exercise sound judgment in high-pressure, time-sensitive situations.

Field Coordination & Work Orders

  • Receive, review, and validate work orders related to barracks and lodging facilities.
  • Submit work orders to the THS Field Team for execution and input into appropriate systems for tracking.
  • Track status of maintenance and operational issues impacting lodging readiness.

Accountability & Tracking

  • Maintain accurate tracking of Service Member Lodging Assignments, Barrack Utilization, Barrack & Unit Door Codes, and Service Member Vehicle Registration Information.
  • Ensure all data is current, accurate, and aligned with reporting requirements.

Guest Services

  • Provide prompt, professional, and hospitable customer service to the Texas Military Department and all Service Members.
  • Serve as an on-site liaison to ensure lodging operations run smoothly and efficiently.
  • Address questions, concerns, and special requests with urgency and professionalism.
  • Provide and maintain digital welcome packets and ensure physical welcome sheets are posted and up to date within all assigned barracks.

General Operations Support

  • Support basecamp lodging operations and logistics initiatives as needed.
  • Assist with audits, reporting, and continuous process improvements.
  • Perform all other duties assigned by the manager to support mission success.

Qualifications

  • High school diploma required; some college or degree preferred.
  • 1+ years of experience in logistics, operations, hospitality, or customer service (military support experience preferred).
  • Experience in fast-paced, high-volume environments.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities and resolve issues quickly.
  • Proficient in Microsoft Office; ability to learn and operate THS Pro.
  • Strong communication and interpersonal skills.
  • Ability to maintain professionalism in a structured, military environment.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
