Paradise Retreats prides themselves in offering Santa Barbara and Montecito’s most spectacular vacation rentals. Working closely with each and every Paradise Retreats guest, their team ensures their clients are matched with the perfect residence, sitting at the height of resort-style living and equipped with a host of amenities.

Position Summary

The Guest Services Coordinator position is responsible for collecting and processing reservation payments, auditing line items for correct charges, and approving guest lists. This position will also respond to all reservation inquiries and guest requests or complaints in a prompt manner. This position will support the Property Services Coordinator by fulfilling work orders and communicating with housekeeping and other vendors, attending maintenance and housekeeping concerns, as well as responding to all guests and owner inquiries.

Key Responsibilities
  • Answers phone calls directed to both Guest Services and Property Services departments

  • Approve incoming reservations: review and approve all signed agreements, guest list and reservation-specific details.

  • Process reservation payments (initial and final).

  • Respond to all reservation inquiries, both direct and through Airbnb and VRBO, via text, email, phone (inquiries about Paradise Retreats' services, early check-in/late check-out requests, property specific questions, modifications to existing reservation dates, etc.)

  • Send access/lockbox details to all incoming guests

  • Input owner blocks if an owner does not use the owner portal

  • Coordinate with housekeeping and other vendors to resolve early check-in/late check-out requests and property issues or complaints

  • Maintain clear and concise communication with staff and guests

  • Respond to guests and property owners reported issues and or complaints at properties

  • Create work orders and dispatch technicians to resolve issues

  • Review and take necessary action on property inspection reports

  • Manage maintenance inquiries in a timely manner via phone and email

  • Schedule vendors when maintenance issues arise, or vendor assistance is needed

  • Ensure guests have access codes and resolve any access issues when needed.

  • Performs other duties as assigned by supervisor

Required Qualifications
  • A High School Diploma or equivalent is required.

  • Two (2) years of experience in property management and/or real estate, auditing, and payment processing.

  • Proficient in Excel, Word, and any other related computer programs.

  • Strong ability to multi-task and stay focused.

  • Ability to respond to time sensitive messages and emails in a professional manner

  • Proven track record of integrity and hard work

  • Bilingual in English and Spanish strongly desired

  • Professional phone vernacular

  • Positive attitude with the ability to operate under pressure

  • Strong organizational skills

  • Able to work holidays if needed
