Job description

We are seeking an experienced Office Assistant Supervisor to join our team at our Global Support Center in Scottsdale, Arizona.
What You'll Do:
  • Office Operations & Daily Support
  • Provide day-to-day administrative and office support with a high level of professionalism, accuracy, and responsiveness.
  • Greet Team Members, guests, vendors, and business partners in a warm, helpful, and brand-appropriate manner while supporting visitor coordination, badge and access processes, and general office inquiries.
  • Manage daily mail, shipping, receiving, package distribution, and related vendor accounts, including FedEx, UPS, USPS, and other delivery partners.
  • Maintain office/kitchen supply inventory, place orders, organize shared storage areas, and ensure common workspaces are neat, stocked, and functional.
  • Promptly communicate and help resolve issues related to mail systems, printers, shipping platforms, deliveries, building access, or service interruptions.
  • Assist with document preparation, filing, scanning, data entry, invoice support, and other administrative tasks for Human Resources, as assigned.

  • Support meeting room readiness, including room reservations, setup, technology coordination, catering support, materials preparation, and post-meeting reset.
  • Assist with company events, leadership meetings, trainings, celebrations, and Team Member engagement activities at the Global Support Center.
  • Help create a workplace experience that reflects thoughtful service through attention to detail, anticipation of needs, and timely follow-through.
  • Partner with cross-functional teams to coordinate logistics, communicate updates, assignee seating assignments, and resolve office-related needs efficiently.
  • Facilities, Safety & Vendor Coordination
  • Monitor common areas, conference rooms, kitchens, supply areas, and shared spaces to support clean, safe, sanitary, and guest-ready standards.
  • Submit and track basic facilities, maintenance, cleaning, security, and vendor requests, escalating issues as needed.
  • Support workplace safety practices, emergency preparedness activities, and compliance-related administrative tasks.
  • Maintain confidentiality and exercise sound judgment when handling Team Member, visitor, vendor, or company information.
  • Continuous Improvement & Brand Support
  • Identify opportunities to improve office processes, organization, communication, and the Team Member experience.
  • Demonstrate discipline by following through on commitments, meeting deadlines, and keeping stakeholders informed.
  • Perform other duties and special projects as assigned.

What You'll Bring:
  • High school diploma or equivalent required; associate degree or relevant administrative training preferred.
  • Minimum of 2 years of administrative, office assistant, receptionist, facilities, hospitality, or customer service experience preferred.
