Job description

Position Summary
Works as liaison between Legal and other departments on accounting-related tasks. Researches and resolves billing and ebilling technology issues and serves as a central point of contact for advising department members on accounting-related questions or issues. Leads efforts for billing process improvement and department efficiencies. Legal Billing Analysts actively participate in legal spend strategy, outside counsel billing management, regulatory reporting, matter governance, technology administration, process automation, and cross-functional projects that enhance operational effectiveness and financial stewardship within the Legal Department
Essential Responsibilities

  • Prepares spend analysis reports and participates in inter-department calls that discuss legal spend information provided. Responsible for compiling, preparing and submitting month-end journal entries and accruals. Compiles and submits monthly and quarterly insurance spend reports, working directly with stakeholders on questions and reclassifications. Advises department members on compliance and policy-driven accounting practices. Facilitates monthly meetings with attorneys regarding spending forecasts and budget planning. Daily analysis of accounting information to monitor and ensure accurate accounting of labor and outside legal spend. Focus on process improvements, regulatory compliance and increasing efficiencies and develops resulting playbooks, trainings and workflows.

  • Evaluates and serves as final approver on outside legal vendor invoices, reviewing for compliance with company and Legal Services policies and procedures, including Outside Counsel requirements. Acts as subject matter expert for invoice, billing and payment issues, including identifying, investigating, and resolving complex issues with vendors and outside counsel. Works directly with other departments and external vendors regularly on issue resolution.

  • Acts as system administrator for many aspects of the ebilling system; trains legal staff on electronic billing system, and various reporting functions; optimizes system as necessary, troubleshoots problems directly with the vendor and implements solutions.

  • Responsible for critical aspects of legal settlement payments, including analyzing legal settlement documents to ensure accuracy of payments made, proper accounting treatment, and meeting payment deadline.

  • Research and draft responses to regulatory inquiries related to legal spend (including for items such as FERC audits, state commission and intervenor questions, DOJ requests, etc).


Minimum Requirements

  • Business related bachelor's degree or equivalent work experience.

  • Experience and knowledge of law department operation, legal terms and concepts preferred.

  • Attention to detail is critical.

  • Excellent verbal and written communication skills. Software experience preferred: Legal eBilling/Matter Management systems, SAP, Business Objects, Microsoft Office (Excel, Outlook, Word, Access) and document management system.

  • Must be organized, persistent, and always polite and exercise judgment and discretion in working with the Legal Services staff, outside counsel and other third-party billing departments.
