Job description

Reports To: Client Services Supervisor, Client Services Manager, or equivalent leadership. 

Schedule: Monday–Friday | 8:30 AM – 5:30 PM

We're seeking a professional, service-driven Receptionist to be the welcoming face of our office. This role is all about creating an exceptional first impression — greeting visitors, answering calls, and ensuring every interaction is smooth, professional, and memorable.

As a key part of our client services team, you'll also support back-office operations, mail, hospitality, and general office functions, ensuring the office runs seamlessly for employees and visitors alike.

What You'll Do

Front-of-Office Excellence

  • Deliver 5-star service to all visitors, employees, and callers
  • Greet guests, ensure NDA compliance, and log entries in the visitor registration system
  • Manage facility access cards and temporary badges, coordinating with Security as needed
  • Answer and route inbound calls professionally and promptly

Administrative and Office Support

  • Assist with scheduling meeting rooms, ordering catering, preparing materials, and supporting special projects
  • Set up and maintain meeting rooms, reception, pantry, kitchen, and conference areas
  • Monitor and replenish office and pantry supplies
  • Assist with copy/print requests and ensure office equipment is functioning properly

Mail and Back-Office Support

  • Sort, distribute, and track inbound/outbound mail and packages
  • Support other SPS service areas as needed to maintain top-tier office operations
  • Train and guide a back-up on procedures and policies

Team and Client Service

  • Maintain discretion, professionalism, and composure when handling sensitive matters
  • Proactively seek additional tasks during downtime
  • Build strong relationships and contribute to a collaborative, high-performance team

Qualifications

  • Ability to maintain a professional appearance and work assigned schedule

Physical Requirements

  • Ability to stand, walk, bend, or sit for extended periods
  • Ability to lift/move up to 40 lbs., including with wheeled cart assistance
  • Manual dexterity to operate standard office equipment
