Job Title: Legal Receptionist & Switchboard – Managed Services Onsite


Location: Miami, FL 33131 (Onsite)
Schedule: Monday – Friday, 8:30 AM – 5:30 PM (1-hour lunch)
Parking: Reimbursed up to $175/month
 


Position Overview:

Ricoh is seeking a professional, personable, and polished Legal Receptionist to support the front desk operations for Venable LLP, a leading law firm. This individual will be the face of the firm, responsible for managing the switchboard, greeting visitors, maintaining conference room setups, and handling light administrative duties. Bilingual fluency in English and intermediate-level Spanish is a must.


Key Responsibilities:
  • Greet and welcome clients, employees, and guests with professionalism and a positive attitude.

  • Manage a multi-line switchboard, transferring calls appropriately in both English and Spanish.

  • Schedule and maintain conference rooms, ensuring readiness with beverages, supplies, and video conferencing setup.

  • Assist in setting up and breaking down conference rooms, including basic hospitality (coffee/water/refreshments).

  • Perform administrative tasks such as:

    • Calendar management

    • Preparing and updating reports and invoices

    • Filing, organizing documents

    • Drafting and formatting legal correspondence using MS Word

  • Provide light housekeeping in the reception and conference areas.

  • Maintain security procedures for visitors in line with Ricoh and firm policy.

  • Stay knowledgeable about the firm, local amenities, and act as a concierge when needed.


Required Qualifications:
  • 2+ years of recent and relevant administrative/receptionist experience.

  • 1–2 years experience working in a law firm or legal environment.

  • Intermediate-level Spanish-speaking skills required (able to communicate and route calls effectively).

  • Proficiency in Microsoft 365, including Word, Excel, and PowerPoint.

  • High School Diploma required; Associate’s or Bachelor’s degree preferred.

  • Strong customer service, communication, and interpersonal skills.

  • Professional demeanor and ability to multitask in a fast-paced environment.

  • Comfortable performing physical tasks related to meeting setup and basic hospitality.
