We are seeking a Legal Project Assistant to join the firm for a period of no more than two years. The Legal Project Assistant is responsible for providing documentation and staff support services to lawyers, paralegals, legal practice assistants, and others. This role will be located in our Charlotte office.
ESSENTIAL DUTIES
  • Review correspondence for reporting to clients and internal deal team
  • Proofread and check communications for accuracy
  • Retrieve and organize documents from online databases
  • Assemble matter schedules and track progress
  • Prepare closing binders and manage closing checklists
  • Prepare signature page packets
  • Prepare and maintain department records and reports
  • Prepare large mailings and assist with document distributions
  • Draft secretary's certificates and organize lien searches
  • Act as liaison between departments (office services, central records, etc.)

ADDITIONAL DUTIES
  • Create and maintain files
  • Index and organize documents including review of original collateral files for completeness
  • Maintain status log of transactions, closings, and post-closing obligations

EXPERIENCE & SKILLS REQUIRED
  • College diploma or equivalent
  • Recent college graduate with plans to pursue graduate school, including law school
  • Previous experience in a client-services-oriented field preferred
  • Excellent written and oral communication skills
  • Excellent organizational ability, attention to detail, analytical skills, and initiative
  • Ability to organize, prioritize assignments, and produce high volume of work quickly and accurately
  • Ability to work under pressure and meet deadlines
  • Able to meet obligations with confidentiality, integrity, and sensitivity

ADDITIONAL ABILITIES REQUIRED
  • Be personable, articulate, knowledgeable, and professional in presenting oneself in a professional setting
  • Willingness and ability to learn new skills, including an interest in learning and utilizing the firm's AI tools and other technological solutions
  • Flexibility in dealing with simultaneous projects; Excellent organizational skills
  • Attention to detail
  • Ability to function with a high level of patience, tact, and diplomacy in handling any "complaint" situations
  • Working knowledge of Microsoft products pertaining to the specific position, including, but not limited, to Outlook, Word, Excel, etc.
  • Effective communication skills, both orally and written
  • Strong initiative required
  • Ability to work independently with minimal direct supervision; Due to the cyclical nature of the industry, demonstrated ability to work varying schedules to reflect the business needs of the firm
  • This job operates in an office setting and is largely sedentary, requiring the routine use of a computer and other standard office equipment. The ability to open file cabinets, lift files, bend, and stand on a stool may also be required.

Compensation Salary $44,000 - $63,000
The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
