We are seeking a Legal Operations & Billing Specialist to become an integral part of our firm. This position will initially be part-time, with a clear opportunity to evolve into a full-time leadership role as the firm's operational and growth needs continue to expand.

Position Summary

The Legal Operations & Billing Specialist will play a pivotal role in JSL's day-to-day operations, assisting in overseeing the firm's billing and revenue cycle while supporting attorneys with client intake, matter management, and paralegal and administrative operations.

This position is ideal for someone who enjoys creating efficient systems, improving workflows, and taking ownership of meaningful responsibilities.

This role offers a unique opportunity to expand into office leadership, including supervising administrative staff, improving internal processes, implementing new technologies, and helping shape the future of JSL.

Primary Responsibilities

  • Assist in managing the firm's complete billing cycle; from pre-bill preparation through final invoice submission (Clio).
  • Prepare, review, edit, and submit invoices in accordance with attorney direction and client billing guidelines (Clio).
  • Maintain billing rates, fee arrangements, client billing requirements, and e-billing platforms (Clio).
  • Monitor work in progress (WIP), accounts receivable, collections, and overall billing performance.
  • Coordinate with attorneys regarding billing edits, special billing instructions, and client-specific requirements.
  • Support new client and matter intake, including conflict checks, engagement letters, retainer processing, and billing setup (Clio).
  • Maintain accurate client and matter information within Clio.
  • Assist with legal administrative and paralegal support functions, including document preparation, filing, records management, scheduling, and case organization.
  • Identify opportunities to improve workflows, automate routine tasks, and strengthen the firm's operational infrastructure.
  • Collaborate with firm leadership on operational initiatives and, over time, assume increasing responsibility for administrative processes and team leadership.

Qualifications

  • Three or more years of experience in legal billing, law firm administration, paralegal work, business operations, or a related legal operations role preferred.
  • Experience with legal billing software, e-billing platforms, and practice management systems (Clio experience strongly preferred; TimeSlips, PracticePanther, TimeSolv, eBillingHub, or similar platforms are a plus).
  • Strong proficiency in Microsoft 365; Outlook, Excel, Word, and Teams or Zoom.
  • Excellent attention to detail, organization, and time management.
  • Ability to prioritize multiple deadlines while maintaining exceptional accuracy.
  • Strong written, verbal, and interpersonal communication skills for internal and external purposes.
  • Demonstrated initiative, sound judgment, and the ability to identify and implement process improvements.
  • Bachelor's degree or paralegal certificate preferred but not required (with relevant experience).
