Job description

SUMMARY

Mortenson is looking to add a Legal Operations Specialist to our Legal Team. This individual will be responsible for administration of contract management system and other legal systems and technology by providing technical and administrative support integral to these systems.

RESPONSIBILITIES

  • Contract Management System Administration 

    • Serve as the central point of contact for the contract management system and provide overall guidance to end-users of the system
    • Assist with development of processes and procedures for identification and ingestion of contract documents to be added to the contract management system, as well as processes and procedures for identification and disposition of agreements to be removed from the system
    • Assist owners and keepers of contract documents maintained outside the contract management system (e.g., contracts stored in project files on network drives or SharePoint sites) with the mechanisms required to copy/add those contract documents to the system (e.g., from manual upload of documents shared by document owners or creation of SharePoint or OneDrive sites with automated file synchronization to the contract repository) 
    • Work with end-users, IT technical resources and/or vendor's customer support to troubleshoot problems and resolve application issues 
    • Set up automated reports and provide ad hoc reports to leadership teams as needed 
    • Manage user access and assign appropriate permissions-based access 
    • Provide support and training to end-users 
    • Coordinate with cross-functional teams for rolling out contract management system to new user groups and/or to include additional contract types 
  • Other Legal Operations and Systems 

    • Provide general support for the administration of the company's labor agreements
    • Provide support for administration of legal hold system 
    • Collect feedback from end-users of legal systems to assist with continuous improvement of systems and to aid in successful implementations or roll outs of legal systems and technology 
    • Supports legal operations by managing key systems and processes related to legal holds, discovery, data review, and department content management on SharePoint. 

    • Drives improvement in how the legal team works by maintaining useful internal resources and exploring practical uses of AI. 

    • Partner with Legal, IT, and business stakeholders to research, evaluate, pilot, and implement technology solutions that improve legal service delivery and drive enterprise-wide operational efficiency

    • Effectively work and build relationships with those of diverse backgrounds and organizational levels. 

    • All other duties as assigned.

QUALIFICATIONS

  • Bachelor's degree 
  • Minimum two years of work experience in a law firm, an in-house legal department or comparable experience 
  • Prior experience or specific knowledge of legal systems and technology
  • Ability tomaintain a high level of confidentiality anddiscretion
  • Detail orientation and ability to organize and manage multiple projects

  • Excellent organizational and multi-tasking skills, with the ability to be flexible as needed

  • Proficient skills in Microsoft Word, Excel, Outlook, and Power Point

  • Positive and professional attitude and strong customer service skills

  • Active listening skills and effective communication including an openness to diverse input and feedback

The base pay range for this role is $68,700 - $103,100. (Actual range is higher for the following office locations: Denver, CO and Chicago, IL - 5%, Seattle, WA, and Portland, OR - 10%, Washington, D.C. - 12.5%).

Base pay is positioned within the range based on several factors including an individual's knowledge, skills, and experience, with consideration given to internal equity.  This position is eligible for Mortenson's incentive plan.
