Legal Office Coordinator


Location: Atlanta, GA

Employment Type: Full-Time

Are you the office “fixer”?


You’re the person people turn to when something needs to get done. The copier is out of toner. The coffee needs to be refreshed. A client is walking in and lunch was never ordered. An urgent package has to make the last pickup. Someone needs help connecting a laptop to the conference room display.


You notice what needs attention and take care of it.


We are recruiting for an experienced Legal Office Coordinator to help keep a busy, client-facing legal office running smoothly. This is a hands-on role for someone who enjoys variety, stays aware of what is happening around the office, and does not need to wait for every task to be assigned.


This is not a sit-at-the-desk-and-wait position. The right person is comfortable moving throughout the office, shifting priorities, solving routine problems, and pitching in wherever needed.


Responsibilities

  • Support day-to-day office operations, including facilities, hospitality, conference rooms, mail, supplies, and general office services.
  • Prepare conference rooms for internal and client meetings, including room setup, refreshments, laptops, projectors, and A/V equipment.
  • Troubleshoot basic laptop, monitor, projector, connectivity, and conference room technology issues.
  • Manage incoming and outgoing mail, packages, internal deliveries, courier requests, and time-sensitive shipments.
  • Monitor office, kitchen, hospitality, and meeting supplies and replenish or order items as needed.
  • Work with building management regarding maintenance, repairs, and facility concerns.
  • Coordinate with vendors and service providers and follow through until issues are resolved.
  • Assist with catering, client meetings, office events, and special functions.
  • Provide backup reception coverage when needed.
  • Notice routine office needs and take appropriate action without waiting for step-by-step direction.
  • Help employees and attorneys with day-to-day office and technology needs.
  • Assist with additional responsibilities needed to keep the office operating smoothly.


What We’re Looking For

  • Recent experience supporting multiple areas of office operations, rather than one narrow administrative or mailroom function.
  • Experience in a legal, corporate, professional services, financial, consulting, or similarly client-focused office environment.
  • Experience with several areas such as facilities, conference services, hospitality, vendors, mail/couriers, supplies, reception coverage, and basic technology or A/V support.
  • Demonstrated ability to work proactively, recognize what needs attention, and take appropriate action without constant direction.
  • Strong judgment and the ability to solve routine problems independently while knowing when to escalate an issue.
  • Dependable with strong follow-through and a sense of ownership.
  • Comfortable moving between client-facing responsibilities and behind-the-scenes office needs throughout the day.
  • Strong professional communication skills with attorneys, leadership, employees, clients, visitors, vendors, and building personnel.
  • Ability to remain organized and composed when priorities change.
  • Discretion when working with confidential or sensitive information.
  • Willingness to pitch in wherever needed to get the job done.
