We are seeking a highly organized, proactive Med-Legal Case Manager to coordinate personal injury and medical-legal cases from intake through treatment completion and case resolution.

This role is ideal for someone with experience in personal injury case management, medical case management, legal case coordination, healthcare administration, or medical-legal operations who understands how to keep complex cases moving while maintaining accurate documentation and professional communication.

Position Summary

The Med-Legal Case Manager serves as a central point of coordination for active personal injury and medical-legal cases.

You will work across medical practices, patients, attorneys and law firms, providers, and internal operations teams to help ensure cases progress efficiently, documentation is accurate, communication is timely, and outstanding issues are identified before they become problems.

This is a case ownership position, not simply an administrative support role. The successful candidate will be comfortable managing a case portfolio, following up consistently, identifying stalled cases, maintaining detailed records, and communicating professionally with both healthcare and legal professionals.

Key Responsibilities
  • Personal Injury & MedLegal Case Management
  • Manage assigned personal injury and medicallegal cases throughout the patient treatment lifecycle.
  • Monitor case status, treatment progression, referrals, appointments, and outstanding case requirements.
  • Maintain accurate and current case notes, documentation, contact information, and status updates.
  • Identify cases that have stalled or require additional followup and proactively work toward resolution.
  • Maintain organized case workflows and followup schedules to prevent missed deadlines or communication gaps.
  • Attorney & Law Firm Coordination
  • Communicate professionally with attorneys, paralegals, legal assistants, and law firm case managers regarding patient and case status.
  • Coordinate appropriate requests for case information and documentation.
  • Maintain accurate attorney and law firm information within applicable systems.
  • Develop strong working relationships with legal partners while maintaining appropriate professional and compliance boundaries.
  • Escalate complex case issues when necessary.
  • Patient & Treatment Coordination
  • Support communication necessary to keep patients progressing through prescribed treatment plans.
  • Coordinate with clinic teams and providers regarding patient status, referrals, treatment progression, and outstanding needs.
  • Help identify missed appointments, treatment gaps, or other issues that may interfere with continuity of care.
  • Facilitate communication among appropriate parties while respecting patient privacy and HIPAA requirements.
  • Medical Documentation & Case Support
  • Help coordinate requests involving medical records, bills, treatment documentation, referrals, and other caserelated information.
  • Monitor outstanding documentation and follow up with responsible parties.
  • Maintain organized case records to support efficient response to authorized requests.
  • Assist with case status reporting and internal documentation requirements.
  • Case Tracking & Reporting
  • Maintain accurate case information in CRM, case management, and/or practice management systems.
  • Track assigned caseload and key case milestones.
  • Monitor outstanding tasks and followup dates.
  • Provide management with updates regarding case volume, aging cases, treatment gaps, unresolved issues, and other relevant trends.
  • Participate in efforts to improve case management processes, workflows, and communication standards.

  • Familiarity with the lifecycle of a personal injury patient or case.
  • Experience managing multiple active cases, accounts, patients, or client relationships simultaneously.
  • Experience with CRM, case management, EHR/EMR, or practice management software.
  • Understanding of HIPAA and confidential medical information.

  • Proficiency with Microsoft Office and/or Google Workspace.
  • Excellent written and verbal English communication skills.
  • Ability to maintain confidentiality and comply with applicable HIPAA and privacy requirements.
