Job description

Ignite Practice Growth is hiring a Bilingual Clinical Intake & Scheduling Specialist (English/Spanish) to support a growing multi-location healthcare organization in Jacksonville, Florida.

This role is ideal for an experienced medical scheduler, patient intake specialist, medical receptionist, patient access representative, or healthcare call center professional who is organized, confident on the phone, and comfortable coordinating patients across multiple providers and locations.

You will often be the patient's first point of contact. We need someone who can communicate clearly in both English and Spanish, gather accurate information, coordinate appointments efficiently, and create a professional experience from the first call forward.

What You'll Do
  • Handle inbound and outbound patient calls in English and Spanish
  • Complete new patient intake and accurately enter demographic, insurance, referral, and case information
  • Schedule, confirm, reschedule, and coordinate patient appointments
  • Match patients with the appropriate provider, service, and clinic location
  • Manage multilocation and multiprovider schedules
  • Communicate appointment requirements and next steps clearly to patients
  • Obtain and document referral, insurance, attorney, and other required information
  • Maintain accurate patient information within the EHR/practice management system
  • Communicate with clinical teams, referral sources, and other departments to resolve scheduling issues
  • Follow established HIPAA, privacy, documentation, and patient communication standards
  • Identify scheduling conflicts, incomplete information, and intake issues before they delay patient care
  • Help maintain an organized, responsive patient intake and scheduling workflow
  • What We're Looking For

    Required:
  • Fluent/bilingual communication skills in English and Spanish
  • Strong verbal and written communication skills
  • Excellent phone presence and customer service skills
  • Strong attention to detail and dataentry accuracy
  • Ability to manage a high volume of calls, appointments, and patient information
  • Comfortable working with multiple software systems and learning new technology
  • Reliable, organized, and able to prioritize in a fastpaced healthcare environment
  • Preferred:
  • 1+ year of experience in medical scheduling, patient intake, patient access, medical reception, healthcare customer service, or a medical call center
  • Experience working in a physician practice, specialty medical practice, or multilocation healthcare organization
  • Experience with EHR/EMR and practice management systems
  • Familiarity with referrals, insurance verification, medical records, or personal injury healthcare is a plus
  • The Right Person for This Role

You don't just answer the phone—you take ownership of what happens next.

You're comfortable speaking with patients who may be injured, frustrated, confused, or unfamiliar with the healthcare process. You can be warm without losing efficiency, professional without sounding scripted, and accurate even when the phones are busy.

You notice missing information. You follow through. And you understand that a scheduling mistake isn't just a calendar problem—it can affect the patient's experience and the entire clinical workflow.
