Job description

Hale Law, a Florida-based personal injury firm and the official partner of USF Athletics, is hiring a Bookkeeper to keep the firm's finances current, compliant, and well-documented. Based in our Sarasota office, you'll maintain the firm's accounting records in QuickBooks Online, manage accounts payable and firm expenses, and oversee the firm's trust/IOTA account with strict accuracy, working alongside the firm's CFO on monthly and annual reporting.

Day to day, you'll keep the firm's books up to date, reconcile bank and credit card accounts each month, review and code AMEX statements, track case-related expenses in Filevine, and perform monthly three-way trust reconciliations in full compliance with Florida Bar rules. We're looking for a detail-oriented professional with at least three years of bookkeeping experience, ideally in a law firm or professional services setting, strong QuickBooks Online and Excel skills, and familiarity with trust/IOTA accounting. Full-time, on-site in Sarasota, with a competitive benefits package.

Compensation:

$42,500 yearly


Responsibilities:
  • Maintain the firm's books in QuickBooks Online, keeping entries current and booking transactions as they occur
  • Reconcile all bank and credit card accounts monthly, closing out by the 10th–15th of the following month
  • Process accounts payable, vendor payments, and checks, and audit and reconcile AMEX statements for valid, documented charges
  • Track firm expenses by category and enter case-related expenses in Filevine for per-matter cost accounting
  • Manage the firm's trust/IOTA account with strict accuracy, performing monthly three-way reconciliations per Florida Bar rules
  • Prepare monthly financial reports and support the CFO at month-end and year-end
  • Help build and document financial workflows, identifying process improvements that reduce errors

Qualifications:
  • At least three years of bookkeeping experience, preferably in a law firm or professional services environment
  • Proficiency in QuickBooks Online (QBO) and strong Microsoft Excel skills, including formulas and reconciliation worksheets
  • Knowledge of generally accepted accounting principles (GAAP) and financial data analysis
  • Experience with law firm trust/IOTA accounting and three-way reconciliations strongly preferred
  • Strong attention to detail and accuracy with high-volume data entry
  • Excellent written and oral communication skills, plus proficiency with the Microsoft Office Suite
  • High school diploma or equivalent required; Associate's degree with accounting coursework preferred
