Job Description

Leave Administration Services is responsible for administering the full leave of absence cycle within the guidelines of federal, state and company policies. Providing guidance for Pilot Company's team members, managers, and HR partners during the leave and accommodation process to ensure a positive and informed experience.

In this role you would: 

  • Determining eligibility of leave of absence. This includes State, Federal, Canadian and Company policies
  • Provides guidance and information regarding Pilot Benefits offerings
  • Complying, tracking & administering all State, Federal, Canadian and Company leave of absences, including approving or denying requested leave of absences
  • Administering and monitoring all work-stay ADA accommodations and religious accommodations
  • Completing Canadian Records of employment for all Canadians on leave as well as separated from the company
  • Coordinating TM paid STD & LTD, State STD with 3rd party vendors or state administrators
  • Process terminations for team members who are non-compliant or those in which an accommodation can’t be met after going through the ADA process
  • Providing legal with any information about a leave of absence that is needed for Department of labor claims, EEOC, or any other legal claims that may arise regarding a leave of absence case. (This includes participating in depositions if necessary)
  • Maintain documentation and reporting for ADA accommodations in accordance with the Office of Federal Contract Compliance Programs (OFCCP) guidelines
  • Calculating Loss PTO for individuals returning from leave of absence
  • Completing waiver of benefit premium documents for Canadian TMs
  • Coordinating all PTO, Pilot leave, or Parental pay request for TMs on leave
  • Benefit Billing and collections
Qualifications
  • High school diploma required
  • Bachelor’s degree preferred
  • At least 2 years of leave of absence experience required
  • Intermediate Microsoft Office skills including Excel
  • Broad Knowledge of Leave of absence policies preferred
  • Ability to handle sensitive and confidential information ethically and responsibly
  • Ability to independently handle, research, evaluate and resolve simple Leave of Absence matters
  • Ability to embrace technology, as well as utilize and transact in HR systems, portals, knowledgebase and case management
  • Ability to follow standard procedures in resolving issues and knowing when to refer to higher tiers or legal department when appropriate
  • Strong organizational, attention to detail and multi-tasking skills
  • Strong interpersonal and customer service skills- Must have the ability to show compassion and empathy for others
  • Strong written and verbal communication skills
  • This position requires candidates to be legally authorized to work in the United States without employer sponsorship.
