The Position: The Leave Coordinator is responsible for supporting the administration of employee leave of absence programs and providing high-quality service to employees and internal partners. This role coordinates leave cases with internal teams and third-party administrators, helps ensure accurate pay and benefit deductions during leave, maintains accurate records, and supports selected benefit team initiatives and employee service through effective communication, confidentiality, and operational excellence.


WHAT YOU’LL DO

  • Serve as the primary point of contact for employees and third-party administrator regarding leave of absence programs, including FMLA, ADA, state-mandated leaves, military leave, and company-specific leave policies and programs.
  • Provide high-quality customer service by responding to employee inquiries related to leave eligibility, documentation requirements, benefit continuation, and return-to-work processes.
  • Coordinate leave administration with internal partners and third-party administrators to ensure accurate, timely, and compliant case management.
  • Provide support to employees throughout the leave claim process, including claim submission, status monitoring, and updates through third-party administrator resources and tools.
  • Create and maintain accurate leave records and reports. Ensure Human Capital Management and timekeeping systems are updated. Ensure data integrity and timely updates through regular claim audits.
  • Partner with payroll and benefit teams to ensure accurate pay and benefit deductions during leave, including unpaid leave scenarios and benefit premium processing.
  • Monitor multiple leave cases simultaneously, prioritize work effectively, and meet required deadlines and service-level expectations.
  • Provide secondary support to the benefits team on recurring administrative projects, data maintenance, compliance activities, employee communications, and other team initiatives as assigned.
  • Other duties as assigned.

YOUR SKILLS AND ABILITIES (REQUIRED QUALIFICATIONS)  

  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field required.
  • Experience: 1-3 years of experience in HR, leave administration, benefits administration, payroll, or a related employee services role.
    • Experience administering employee leaves of absence (FMLA, ADA, state leave programs) preferred.
    • Experience providing customer service in a confidential, compliance-driven environment.
  • Skills: Working knowledge of leave of absence regulations, including but not limited to FMLA, ADA, and applicable state laws.
    • Understanding of payroll systems, processes, and benefit deductions.
    • Strong customer service and communication skills, with the ability to explain complex information clearly and professionally.
    • Proficiency in HR systems and Microsoft Office applications (Excel, Word, Outlook).
    • Strong organizational skills with the ability to manage multiple cases, deadlines, and priorities.
    • Attention to detail and accuracy when handling sensitive employee data and legal documentation.
    • Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.
    • Ability to interpret policies, procedures, and legal documents and apply them consistently.
    • Ability to communicate effectively with employees, managers, on-site HR practitioners and external agencies.
    • Ability to work independently while collaborating effectively within a team environment.
    • Ability to adapt to changing priorities, regulations, and business needs.

SALARY RANGE

The expected salary range for this role is $47,401 - $88,708 per year.
