Job description

Description:Position Summary

We are seeking an HR Administrator, Leave & Benefits Compliance to own the day-to-day administration of employee leave, absence, and benefits compliance. This position plays a key role in supporting the People Team, reporting to the HR Manager, ensuring alignment with organizational goals, operational excellence, and compliance standards. This role combines regulatory precision with a genuinely empathetic touch, since the person in this seat is often the first point of contact for employees during some of the most sensitive moments in their lives.


Key Responsibilities
  • Leave and absence administration: manage employee leave requests end to end, including FMLA, state and local leave programs, parental leave, and ADA accommodation-related absences, from intake through return to work.
  • Benefits compliance: support compliance with ACA, ERISA, COBRA, and applicable state benefits mandates, including required notices, filings, and recordkeeping deadlines.
  • Case tracking and documentation: maintain accurate, audit-ready leave and absence case files, tracking eligibility, certifications, and key dates in the HRIS.
  • Vendor and carrier coordination: partner with benefits brokers, carriers, and third-party leave administrators to resolve claims, escalations, and eligibility discrepancies.
  • Regulatory monitoring: track changes in federal and state leave and benefits law, and flag needed updates to policies, forms, and processes.
  • Compliance risk reduction: close gaps before they become audit findings or regulatory exposure, protecting the company from penalties and legal risk.
  • Employee experience: serve as a clear, compassionate point of contact for employees during leave, reducing confusion and anxiety during a difficult time.
  • Process and documentation: document processes and precedent so leave and benefits administration stays consistent as regulations and headcount change, freeing up HR leadership to focus on strategy and higher-level people programs.
Qualifications
  • Education: Bachelor's degree preferred, or equivalent combination of education and experience.
  • Licensure/Certification: PHR, SHRM-CP, or CLMS certification preferred, or active progress toward one.
  • Experience: 2+ years of experience in HR administration, focused on leave and benefits compliance.
  • Skills:
    • Hands-on experience with FMLA and state leave programs, and a working knowledge of ACA, ERISA, and COBRA requirements.
    • Multi-state leave exposure, with experience supporting employees across a range of state-specific leave requirements.
    • HRIS fluency, with comfort configuring or maintaining leave and case tracking modules in a modern HRIS platform.
    • Healthcare, pharmacy, or life sciences experience preferred, ideally in an environment where compliance stakes and pace are both high.
    • Clear, empathetic communication skills, with the ability to deliver difficult news (such as a denied leave request) with both clarity and care.

  • Must be able to sit or work at a computer workstation for extended periods while managing case files, documentation, and the HRIS
  • Must be able to manage sensitive employee conversations by phone and video with professionalism and empathy.
  • Must be able to maintain accurate, audit-ready documentation and meet recurring regulatory filing and recordkeeping deadlines.
  • Must be able to work hybrid, with reliable connectivity to support employee case management and carrier/vendor coordination.
