Job description

Introduction

Role and Responsibilities
The People Operations - Leave of Absence Specialist is responsible for managing and supporting Leave of Absence (LOA) programs and employee lifecycle events for employees across the United States. This role serves as a key point of contact for employees, managers, HR Business Partners, and external vendors, ensuring leave programs are administered accurately, in compliance with applicable regulations, and with a strong focus on customer service.
Responsibilities include leave case management, employee communications, inquiry resolution, compliance oversight, data management, reporting, and process improvement. The work is often confidential, sensitive, and critical to delivering a positive employee experience while ensuring compliance with company policies and applicable federal, state, and local regulations.
Other responsibilities include:
  • Serve as the primary point of contact for employee and manager inquiries related to Leave of Absence programs, including medical, family, military, personal, and other statutory leaves.
  • Manage leave cases from intake through closure, ensuring timely documentation, communication, accurate recordkeeping, and end-to-end case resolution.
  • Provide guidance to employees and managers regarding leave eligibility, required documentation, job protections, pay implications, benefits impacts, and return-to-work processes.
  • Partner with third-party leave administrators, payroll, benefits, HR Business Partners, and other stakeholders to ensure seamless leave administration.
  • Support employees through the leave process with clear, empathetic, and professional communication.
  • Research and resolve escalated or complex leave-related questions and issues.
  • Maintain accurate employee records and perform data entry, audits, reporting, and case documentation within HR systems.
  • Follow established service level agreements (SLAs) and performance metrics while delivering a high-quality customer experience.
  • Identify process improvement opportunities and actively participate in projects focused on standardization, simplification, automation, and operational excellence.
  • Maintain current knowledge of leave legislation, company policies, HR procedures, and system capabilities.
  • Contribute to knowledge management efforts by creating and updating process documentation, FAQs, and knowledge articles.
Education and Experience
  • Bachelor's degree in Human Resources or another relevant field; or equivalent combination of education and work experience.
  • Minimum of 3 years of Human Resources, People Operations, Leave of Absence, Benefits Administration, or Employee Relations experience. Leave of Absence experience is strongly preferred.
  • Demonstrated experience administering leave programs, including FMLA, ADA accommodations, state leave programs, disability, and return-to-work processes preferred.
  • Strong understanding of HR processes, policies, systems, and employee lifecycle events.
  • Experience working with HRIS, case management systems, and leave administration platforms. Workday and ServiceNow preferred.
  • Proven ability to manage sensitive and confidential information with discretion.
  • Experience providing employee and manager support in a customer-focused environment.
  • Knowledge of applicable employment laws and leave regulations preferred.

  • Support special projects, organizational initiatives, and operational priorities as assigned.

  • This position is located on-site in Chandler, AZ. It requires onsite presence to attend in-person work-related events, trainings and meetings and to further ensure teamwork, collaboration and innovation.
  • A flexible workplace arrangement may be available to employees working in roles conducive to remote work (up to two days a week).
