Job description

Leasing Coordinator

The Draw

Volz Company is seeking a detail-oriented, customer-focused Leasing Coordinator to support leasing operations and resident experience initiatives at The Draw.

The Draw is a unique mixed-use residential community that brings together student housing and affordable workforce housing in the heart of Salt Lake City’s vibrant Sugar House neighborhood. This soon to be renovated community includes 42 apartments with the potential to serve 160+ residents. The Leasing Coordinator plays an important support role in helping create a welcoming, responsive, and well-organized community for both prospective and current residents.

As part of the onsite team, this position works closely with the Community Director and Resident Experience and Leasing Manager to support occupancy goals, maintain strong resident communication, and assist with smooth move-ins, transitions, and daily administrative functions.

Position Summary

The Leasing Coordinator is responsible for supporting the day-to-day execution of leasing, resident communication, and administrative operations for the community. This role serves as a key point of contact for prospective and current residents, assists with applications and lease preparation, supports resident events and move-in coordination, and helps ensure a high-quality customer experience across the full resident lifecycle.

This position is ideal for someone who is organized, service-oriented, adaptable, and interested in growing within property management.

Responsibilities

Leasing and Sales Support

· Serve as a first point of contact for prospective residents by phone, email, and in person.

· Respond to leasing inquiries promptly and professionally, and route more complex matters to the Resident Experience and Leasing Manager as needed.

· Schedule and conduct community tours in accordance with company standards.

· Support the application cycle, including follow-up with prospects, collection of required documentation, and waitlist administration.

· Assist with preparation of leases, housing agreements, addenda, and related leasing documents.

· Maintain accurate prospect, applicant, and occupancy records in property management systems.

· Support leasing outreach efforts, resident referral activity, and follow-up communications to help achieve occupancy goals.

Resident Services and Customer Experience

· Provide friendly and responsive service to current residents and assist with general questions, requests, and concerns.

· Help coordinate move-in, move-out, and unit transition communication to support a smooth resident experience.

· Support resident retention efforts through timely communication, follow-up, and service coordination.

· Assist with resident events, engagement programs, community communications, and customer experience initiatives.

· Help collect resident feedback through surveys, conversations, and other touchpoints and share trends with onsite leadership.

· Maintain professionalism and empathy when assisting residents and escalate sensitive or complex issues appropriately.

Administrative and Operational Support

· Maintain organized leasing files, resident records, and required documentation.

· Assist with unit assignment tracking, move-in readiness checklists, and leasing reports.

· Help coordinate communication between residents and facilities staff regarding work orders and service updates.

· Support billing, charges, notices, and other administrative tasks in collaboration with onsite leadership and accounting support.

· Maintain working knowledge of community policies, housing agreements, amenities, unit types, and operational procedures.

· Assist with marketing materials, digital listing updates, and social media content that promotes community life and housing availability.

· Participate in training and comply with company policies, Fair Housing requirements, and other applicable procedures.

Team Support

· Support the Resident Experience and Leasing Manager with daily workflow, follow-up tasks, and resident-facing priorities.

· Collaborate with the Community Director and other onsite team members to maintain a positive, organized, and service-focused environment.

· Assist with special projects, peak leasing periods, and turnover preparation as needed.

Qualifications

· Associate degree preferred; equivalent experience in leasing, housing, hospitality, customer service, or property management may be considered.

· 1–3 years of experience in customer service, leasing, housing, or administrative support preferred. Minimum of 3-6 months of leasing experience required.

· Strong interpersonal, communication, and organizational skills.

· High attention to detail and ability to manage multiple priorities.

· Proficiency with Microsoft Office and property management or CRM software preferred.

· Ability to work occasional evenings, weekends, and busy move-in or turnover periods as needed.

· Must be legally authorized to work in the United States.

Compensation

This is a full-time position, expected to work 40 hours per week with some evenings, weekends, and on-call or after-hours support during peak periods as needed.
