POSITION/LEVEL: Lease Administrator FLSA STATUS: Exempt

DEPT/OFFICE: Jamestown Commercial Management DATE: Aug 2025

REPORTS TO: Senior Lease Administrator Manager



JOB SUMMARY:

The Lease Administrator is responsible for ensuring accurate lease administration, compliance with lease terms, and proper setup of tenant information in the accounting system to ensure accurate billing for portfolio of properties. This role also incorporates recovery accounting expertise, including preparation and reconciliation of year-end recoveries, interpretation of recovery lease language, and collaboration with property accounting teams to resolve tenant and landlord disputes. The position works closely with legal, accounting, leasing, construction, and property management teams to support both lease administration and recovery accounting functions.


QUALIFICATIONS:

  • Bachelor’s degree in Accounting, Business Administration, or related field; or equivalent combination of education and experience.
  • 3-5 years of relevant experience in commercial real estate lease administration.
  • Experience in cost recovery reconciliation and related accounting functions.
  • Ability to create and maintain a CAM worksheet.
  • Strong proficiency in Microsoft Office Suite and Yardi (strongly preferred).
  • Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.

ESSENTIAL JOB FUNCTIONS:

  • Abstract and interpret leases and related documents for input in the lease database.
  • Maintain lease terms in database and ensure accuracy for monthly billings, CPI increases, collections, and other lease-related charges.
  • Monitor leases to ensure critical dates are met and resolve lease interpretation discrepancies.
  • Assist in preparation, review, and reconciliation of year-end recovery statements.
  • Create and maintain recovery reconciliation files; update with new lease data and verify calculation accuracy.
  • Work closely with property accounting on budgeting, forecasting, and new tenant billing setup.
  • Interpret and effectively communicate recovery lease language with property management and accounting.
  • Assist in research, documentation, and responses to tenant audits.
  • Maintain accurate and organized electronic and physical lease files.
