The HR & Talent Operations Coordinator provides administrative and operational support across Human Resources, Talent Acquisition, Learning & Development, and Employee Experience functions. This role serves as a critical partner to the HR and Talent teams by coordinating day-to-day activities, maintaining systems and records, supporting employee programs, and ensuring operational excellence across the employee lifecycle.
The position is responsible for managing recurring HR and talent processes, coordinating recruiting and onboarding activities, administering training programs, supporting employee engagement initiatives, and maintaining accurate HR data and reporting. By assuming ownership of operational and administrative functions, this role enables HR and Talent leaders to focus on strategic initiatives, workforce planning, leadership development, and organizational growth.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Coordinate recruiting activities, including job postings, candidate communications, interview scheduling, and hiring workflows.
  • Maintain applicant tracking systems, requisitions, candidate records, and recruiting documentation.
  • Support career fairs, university recruiting initiatives, and other talent acquisition events.
  • Coordinate preboarding, onboarding, and employee lifecycle activities from hire through separation.
  • Maintain employee records, personnel documentation, and HRIS transactions to ensure data accuracy and compliance.
  • Support employee status changes, personnel actions, and related documentation.
  • Administer the Learning Management System (LMS), including training assignments, tracking, and record maintenance.
  • Coordinate logistics and administrative support for employee, leadership development, and internship programs.
  • Prepare training reports, participation metrics, and development program documentation.
  • Administer employee recognition programs, service awards, and milestone tracking.
  • Coordinate employee engagement, appreciation, and culture-building initiatives.
  • Support employee events and related communications, logistics, and program administration.
  • Prepare HR reports, dashboards, metrics, and workforce data analysis.
  • Support compliance activities through record maintenance, audit preparation, and process documentation.
  • Coordinate follow-up programs, track action items, and support continuous improvement initiatives

EXPECTATIONS:
  • Demonstrates ownership of recurring HR, Talent Acquisition, Training, and Employee Experience processes, ensuring activities are completed accurately and on time.
  • Provides exceptional customer service to employees, candidates, managers, and external partners through responsive, professional, and confidential support.
  • Maintains accurate, organized, and audit-ready employee, recruiting, and training records while ensuring data integrity across HR systems.
  • Proactively identifies administrative needs, follows through on commitments, and continuously seeks opportunities to improve efficiency and streamline processes.
  • Serves as a trusted operational partner by coordinating programs, communications, reporting, and logistics that enable HR and Talent leaders to focus on strategic priorities.

EDUCATION AND EXPERIENCE:
  • Associate's or Bachelor's degree in Human Resources, Business Administration, Management, Communications, or a related field preferred.
  • One to three years of experience in Human Resources, Talent Acquisition, Recruiting Coordination, Administrative Support, or a related field preferred.
  • Experience working with HRIS, applicant tracking systems, learning management systems, or similar business systems preferred.
  • Strong organizational and project coordination skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • High attention to detail and commitment to accuracy.
  • Proficiency in Microsoft Office products, including Excel, Word, Outlook, and Teams.
  • Ability to maintain confidential information with professionalism and discretion.
  • Strong customer service mindset and interpersonal skills.
  • Ability to work independently while partnering effectively with cross-functional teams.

WORK ENVIRONMENT:
  • Will work in an office environment with minimal exposure to dust, noise, and other environmental hazards. May involve prolonged periods of sitting and frequent use of a computer, keyboard, and mouse.
  • Use of company vehicle, on occasion. A successful Motor Vehicle Report (MVR) is required.
