Job description

In this role, you will serve as the operational engine behind our Learning & Development programs, ensuring training initiatives run smoothly, compliance requirements stay on track, and managers and team members receive timely and professional support every step of the way.

You will coordinate training schedules and logistics, assist in Learning Management System (LMS) administration, manage compliance training enrollments, maintain learning resources, and provide day-to-day operational support for new and existing programs. Success in this role requires exceptional attention to detail, strong organizational skills, and the confidence to follow up and hold others accountable to deadlines and commitments.

KEY RESPONSIBILITIES

Program Coordination & Logistics

  • Coordinate all Learning & Development programs and events, including scheduling sessions, sending invitations, preparing participant materials, and managing room and virtual meeting logistics
  • Maintain learning calendars and communicate schedules, updates, and reminders to participants and stakeholders
  • Coordinate travel arrangements and logistics for L&D Programs, when needed

Program Rollout Support

  • Support the launch of new and existing learning programs and initiatives by managing communications, participant tracking, and follow-up activities
  • Partner with Learning & Development team members and business stakeholders to ensure successful implementation across the organization
  • Update and maintain learning resources, visual aids, job aids, participant materials, and other supplemental learning tools
  • Monitor rollout progress and escalate issues or risks as needed
  • Collect participant feedback following training programs and summarize key insights
  • Identify process gaps and recommend improvements to enhance efficiency and the learner experience

Training Administration

  • Collaborate with Learning & Development, People and Operations Teams, and external vendors to coordinate L&D programs and initiatives
  • Enroll team members and managers in required internal and external training
  • Track participation and completion status and provide timely reporting to leaders and stakeholders
  • Follow up with individuals and managers to ensure all required training deadlines are met, using LMS functionality

Learning Management System (LMS) Administration

  • Administer the Learning Management System (LMS), including enrollments, assignments, course completion tracking, and reporting
  • Generate and distribute recurring reports on training participation, completion, and effectiveness
  • Troubleshoot learner access and system issues, coordinating with vendors or internal partners when necessary

Learning Inbox Management & Learner Support

  • Manage the centralized Learning & Development inbox, responding to training-related questions and requests promptly and professionally
  • Respond to emails and other communications in a timely manner, demonstrating excellent customer service and professionalism
  • Provide first-level support for access issues, technical troubleshooting, and enrollment concerns
  • Escalate complex issues to the appropriate team members or system administrators

Reporting & Data Management

  • Maintain accurate training records and learner data
  • Prepare dashboards and reports that provide insight into training progress, compliance status, and program outcomes
  • Support data analysis to identify trends and opportunities for improvement

QUALIFICATIONS & EXPERIENCE

  • 2+ years of exposure to L&D, training, or HR coordination whether through prior roles, internships, project work, or a clear interest in growing into the L&D space
  • Highly organized and detail-oriented, catches what others miss; follow-through is consistent without prompting
  • Operates autonomously, comfortable owning the work without daily check-ins
  • Strong, proactive communicator who follows up effectively and ensures commitments and deadlines are met
  • Brings ideas to the table, identifies opportunities to improve processes, and proactively raises them
  • Comfortable across the standard coordination stack (LMS, email, calendaring, basic reporting in Sheets/Excel
  • Spanish proficiency is a plus
