The Administrative Assistant is responsible for providing administrative support to the Center Director and the Early Head Start Program. This position will initiate and coordinate the clerical and secretarial functions required in effective implementation of administrative policies of the program. The Administrative Assistant will ultimately be evaluated on a combination of skills, dispositions, and behaviors, some of which are related to the specific service area of this position and others that represent general expectations of all Acelero Learning employees.

What You'll Do:

  • Uses effective organizing systems to provide administrative support to a variety of stakeholders and projects.

  • Performs daily clerical duties and general admin support.

  • Greets and assists visitors in a courteous and helpful manner.

  • Operates as point of contact for parent inquiries and general visitors.

  • Performs data entry for special ongoing projects.

  • Designs and edits drafts of correspondence, reports, forms, charts, memos, and other documents as needed.

  • Manages inventory of office supplies and initiates orders.

  • Manages mail system and postal needs.

  • Provides clerical support to other administrative assistant levels; i.e. minor word processing of a routine nature, assisting in mass mailings, typing address labels, shredding documents.

  • Oversees the maintenance of manuals and forms for professional staff and ensures updates are completed in a timely manner.

  • Compiles materials for the preparation, editing, and distribution of the monthly newsletter.

  • Maintains the confidentiality of correspondence, documents, discussions, meetings, and calls.

  • Oversees the operation of various office machines to include copier, computer, fax, phone, and mail machine.

  • Attends Head Start operational staff meetings and develops meeting minutes for distribution in a timely manner.

  • Coordinates record keeping and reporting.

  • Facilitates in fiscal management.

  • Develops systems to effectively organize information and provides it to others as needed.

  • Prioritizes projects delegated by a variety of staff to accomplish tasks in the timeframe specified and at a high level of quality.

2. Prior experience with office / general administration.

3. Physical exam and background checks are required for this position.

4. Travel required locally or long-distance up to 10% of the time for work-related meetings and functions.
