Job description

Kamal Law Firm is seeking an experienced and highly organized Office Manager with a background in family law and immigration law to support the daily operations of the firm and ensure that intake, billing, client communication, and case management processes are handled efficiently.


This role is ideal for someone who understands the fast-paced and sensitive nature of family and immigration matters, can manage both people and processes, and is comfortable stepping into operational gaps to keep the firm moving forward.


This is a key role within Kamal Law Firm and requires someone who can create structure, improve accountability, support the legal team, and ensure clients receive a professional and organized experience.

Compensation:

$50,000 - $60,000 yearly depending on experience


Responsibilities:

The Office Manager will oversee the firm’s intake and sales process, including monitoring new leads, ensuring timely contact, reviewing call quality, and helping improve conversion from inquiry to consultation and retained client.

This position will also be responsible for conducting QA reviews of intake and client calls, identifying training opportunities, and helping the team improve communication, professionalism, empathy, and consistency.

Additional responsibilities include:

  • Managing intake and sales workflows for family law and immigration matters
  • Reviewing and QA’ing client and intake calls
  • Setting and monitoring KPIs for intake, sales, billing, case progression, and client communication
  • Ensuring billing is completed timely and accurately
  • Monitoring trust balances and ensuring retainer replenishment is handled efficiently
  • Helping collect on past-due invoices and outstanding balances
  • Ensuring the team is not continuing work on matters that do not have sufficient funds in trust, unless approved by the managing attorney
  • Tracking case management progress to ensure matters are moving forward appropriately
  • Reviewing task completion and helping ensure deadlines, filings, hearings, and immigration-related timelines are not missed
  • Handling escalated, hostile, or upset clients in a professional, calm, and solution-focused manner
  • Supporting client communication standards and ensuring clients receive timely updates
  • Coordinating with attorneys, paralegals, intake staff, billing team members, and outside vendors
  • Helping maintain office procedures, policies, accountability standards, and internal workflows
  • Identifying process gaps and helping streamline daily operations
  • Ordering office supplies and ensuring the office has the tools and resources needed to operate effectively
  • Supporting onboarding and training of staff as needed
  • Maintaining organized internal systems and helping improve overall firm efficiency

The ideal candidate will have prior experience working in a law firm, preferably within family law and immigration law. This person should understand the emotional nature of these practice areas and be able to communicate with clients who may be stressed, upset, overwhelmed, or frustrated.


This role requires someone who can hold team members accountable, manage difficult client conversations, monitor financial workflows, and help the managing attorney maintain visibility over the firm’s daily operations.


Qualifications:

  • Prior law firm management, office management, or senior legal administrative experience preferred
  • Background in family law and immigration law strongly preferred
