The Opportunity
As a Legal Support Assistant, you will perform a range of secretarial and administrative tasks for assigned attorneys. This role involves working collaboratively with colleagues in a team environment, maintaining a professional image of the Firm through positive interactions with clients, attorneys, and staff, and ensuring the confidentiality of all client matters.
The Day-To-Day
On any given day, you'll collaborate with firm leadership, partners, and business colleagues on a wide range of tasks and projects. In this role, you will:
  • File legal documents in federal and state courts, including e-filing in all courts and agencies; prepare documents for service of process; prepare case "shell" documents for use by attorneys.
  • Input, revise, and finalize correspondence, memoranda and other legal documents. Draft routine correspondence, memoranda and other documents.
  • Proofread documents and check for appropriate formatting, spelling and grammar.
  • Verify all attachments, exhibits and enclosures are included with court filings, transmittal letters and memoranda.
  • Prepare case and trial notebooks.
  • Review all incoming mail, distribute to attorneys as needed and upload to the DMS.
  • Prepare documents and packages for mail, messenger and overnight delivery.
  • Prepare expense reports, manage vendor invoices, mailings, and request checks as needed.
  • Assist with review and edit of bills as necessary.
  • Schedule and coordinate logistics for depositions, mediations, arbitrations and other client meetings.
  • Complete client/matter intake forms. Request conflicts of interest checks. Open new files. Prepare files to be closed.
  • Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services).
  • Provide secretarial support to attorneys, including coverage during absences or when additional assistance is needed by members of the LSA Team.
  • Other duties and projects as assigned.

You Have
  • 5 - 7 years of litigation secretarial experience.
  • Recent experience at a large, national firm.
  • Proven ability to handle large dockets and complex litigation cases for Partner level attorneys.
  • Strong proofreading skills, attention to detail and solid grammar/spelling skills.
  • High degree of proficiency with Microsoft programs (Word, Outlook, Excel).
  • Legal citation and legal terminology expertise.
  • Familiarity with Carpe Diem, Elite, iManage, Chrome River, Forte or similar technology.
  • The ability to organize, prioritize and meet the demands of multiple attorney assignments.
  • Flexibility to work overtime occasionally.
  • Good attendance and punctuality.
