EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
Two years related experience and/or training; or equivalent combination of education and experience
High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY :
Performs clerical and administrative duties in support of the Transportation Operations Manager. Processes and maintains Transportation Department employees' payroll, attendance records, and schedules.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Answers the telephone in a professional manner, screens, and refers all calls to appropriate areas within the Transportation Department.
2. Prepares and maintains intradepartmental files for the Operations Manager.
3. Prepares overtime reports on a weekly basis for the Operations Manager.
4. Prepares and distributes schedule reports on a weekly basis to various areas within the department.
5. Translates and transcribes for supervisors specific attendance data for use with counseling and evaluations.
6. Prepares and distributes various individual personnel attendance reports to supervisors within the Transportation Department.
7. Prepares and maintains the Director's weekly perfect attendance report for the Transportation bonus incentive program.
8. Prepares, maintains, and distributes a spare driver roster for full time Transportation personnel.
9. Enters and maintains daily work schedules for all Transportation employees who are on the Kronos payroll system.
10. Maintains, reviews, and edits payroll data for all Transportation employees who are on Kronos (approximately 450 personnel).
11. Researches all payroll and leave concerns for Transportation employees.
12. Attends various meetings with the Payroll Department for planning and implementation of Kronos payroll system upgrade.
13. Calculates and enters all trips (approximately 10,000 per school year) made by drivers and assistants into Kronos.
14. Ensures that all discrepancies on trip sheets are resolved accurately.
15. Calculates and enters various leaves for all Transportation employees who are on Kronos.
16. Prepares exception reports on a daily basis to identify inappropriate or inaccurate entries made by Transportation employees to Kronos.
17. Enters daily, all absences from Dispatcher's daily absentee reports into the Personal Information Management system (PIM).
18. Encodes daily, all leaves reported by Transportation employees into the PIM.
19. Prepares weekly time sheets for supervisors of various sections within the department.
20. Prepares and distributes individual biweekly time sheets for all Transportation employees.
21. Prepares and maintains a Transportation personnel information database. Distributes specialized personnel lists and reports for various sections and supervisors within the department.
22. Prepares and posts a date of hire list for all drivers and assistants in the department.
23. Teaches classes pertaining to payroll and attendance to newly assigned personnel during post hire training and to all Transportation employees during the annual in-service.
24. Assists other areas within the department with special projects as needed.
25. Maintains confidentiality of information.
26. Reports to work on time every day.
27. Performs additional duties and responsibilities as may be assigned.
QUALIFICATION REQUIREMENTS:• Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
• Knowledge of modern office practices, procedures, equipment and clerical techniques
• Ability to work with and adapt to various database and spreadsheet programs and proficient in Word and Excel
• Ability to communicate clearly and effectively, both verbally and in writing
• Valid Texas Driver's License with driving record that meets the requirements of the District
