Junior Payroll Coordinator

Location: Queens Whitestone, New York

Job Type: Full-time

Schedule: Monday–Friday / 8:30AM to 5PM

Work Arrangement: On-site

Pay Range: $25–$28 per hour

FLSA Status: Non-Exempt


Position Summary

We are seeking a detail-oriented Junior Payroll Coordinator to support the accurate and timely processing of weekly and biweekly payroll for more than 1,000 employees across multiple states.

The Junior Payroll Coordinator will maintain employee payroll records, audit time and attendance information, process payroll adjustments, resolve discrepancies, and assist company locations with payroll and onboarding questions. This position requires excellent attention to detail, strong organizational skills, and the ability to handle confidential information while meeting strict payroll deadlines.


Key ResponsibilitiesPayroll Administration
  • Assist with processing weekly and biweekly payroll for 1,000+ employees.
  • Enter and maintain employee information in the payroll system, including wage and salary changes, deductions, transfers, tax withholdings, leaves of absence, and terminations.
  • Verify employee address, tax-withholding, and direct-deposit changes.
  • Calculate and process retroactive payments, corrections, and other payroll adjustments.
  • Process stop-payment requests, direct-deposit reversals, and replacement checks.
  • Audit payroll registers, reconcile payroll information, and resolve discrepancies.
  • Investigate employee and location payroll inquiries and coordinate timely resolutions.
  • Assist with liens, garnishments, and exception reports in coordination with the company’s service provider.
  • Work closely with Human Resources and Benefits to resolve payroll-related matters.
  • Maintain the confidentiality of payroll, financial, and employee information.
Time and Attendance
  • Monitor timecards and work with location management to correct issues before payroll deadlines.
  • Ensure timesheets are complete, accurate, and properly approved.
  • Review time and attendance reports and resolve discrepancies.
  • Review payroll import files and reconcile them against time and attendance reports.
  • Audit and maintain paid-time-off balances.
  • Provide system support to locations using the time and attendance platform.
New-Hire Onboarding
  • Audit new-hire information in the payroll system against onboarding documents.
  • Ensure required new-hire documentation is complete and accurate.
  • Identify and resolve discrepancies before payroll processing.
  • Assist company locations with onboarding-system questions.


Qualifications
  • Zero to two years of payroll, accounting, or administrative experience.
  • Associate degree preferred, or an equivalent combination of education, training, and relevant experience.
  • Experience supporting a high-volume, multistate payroll environment is preferred.
  • Experience with ADP Enterprise or a comparable payroll platform is preferred.
  • Experience processing payroll for exempt, non-exempt, and union-represented employees is a plus.
  • Proficiency in Microsoft Excel and Word.
  • Strong attention to detail, analytical ability, and organizational skills.
  • Effective written and verbal communication skills.
  • Ability to work independently and collaboratively as part of a team.
  • Ability to manage competing priorities and meet strict deadlines.
  • Ability to maintain confidentiality and appropriately handle sensitive information.
